Client receives web-store orders and we want to import the data into SalesCQ, as Prospects and Quotes. Users will approve the Order.
We will then transfer the Prospect to a Customer, and promote the Quote to an Order.

Here is the problem:

We want to import the Prospect/Customer data into Prospects, but we are missing key import fields.
The web-store order includes the prospect’s credit card information – Card Type; Card Number; Expiry and Card-holder’s name.

We want to import this into the prospect.
These fields exist on the Prospect screen, but they are unavailable on the File > Import > Prospects fields.
(These fields are available in the Receivables module when we import Customers.)

- My question is how can we make this work with SalesCQ?
- Is this the right approach?
- I understand that there are other dealers that are using SalesCQ to import Quotes. Any suggestions would be appreciated!

I agree. You can't import the credit card info for a prospect, but you could import optional fields that could hold that information.

Since you have an order and credit card from then, aren't they a customer?

In most cases they are a customer.
But there may be instances where this is not the case:
- They order Items where there is no stock available, and we cannot fill the order. The client may not want to create them as a customer (yet)
- This may be repeat business, and we do not want to create another Customer record where one exists already. The client does not have a log-in for existing customers (yet).
- Until they approve the Order, we do not want to create the Customer. (There has been a few attempts at fraud in the past.)

Hi Sam,
Be careful with the credit card information. As much as this sounds like useful information, credit card fraud is huge and you really do not want to save or store the credit card information in Adagio, where access is not encrypted.

We have done this type of integration with web orders into Adagio SalesCQ and Order Entry, and the approach should be to reference the authorization for the credit card only, to be retrieved from your merchant card services software when you are invoicing.

You import the authorization from credit card web order into Sales CQ, and pass this field to Order Entry. No credit card details other than the authorization code and the web order number need to be imported from the web.

In our solution, we used printboss to bar code the authorization code onto the pickslips with a barcoded sales order number, reference number and customer number to expedite the process. When the client goes to invoice the picked order, they simply scan the order number to retrieve the sales order from order entry (to invoice pickslip details), and then flip to the merchant card software window to retrieve the authorization and complete the credit card transaction. It works for big or small volumes.

Hi Brian.
Appreciate your input.
I spoke with the client and we agreed that we will not transfer across via imports any sensitive data, such as the Credit Card data.

The question that comes to mind though, is that many of us are working with suppliers, including Softrak, where we have given them our credit card information and authority to use our card for purchases. Are they not then storing our Credit Card details?

Credit card information stored in the credit card fields in Adagio is encrypted.

However, this attribute alone is not sufficient to conform to the full PCI specification.
