Hi

I was trying to do a little housekeeping yesterday and wanted to move open quotes older than Jan.1, 2014 to history. I used Copy Quotes from the maintenance menu and entered a date range. The first two times I received 0 moved messages. The third time I received a 135 Moved message. Unfortunately there were over seven hundred quotes to move (no comments please). All the ones that got copied over were from 2014. There also was no transfer date attached to the quote either. I've attached a picture of my selection criteria in case I missed something. All quotes are open.

Thanks

Hi Mike

Here's a conversation (via email) I had with Softrak on this topic a few months ago:

My email:
The Copy Quotes and Delete Quotes functions are completely non-intuitive. For example, you have to use Copy to move a transferred quote to history! If you use Delete, it disappears altogether. Period End should include the ability to move transferred/rejected quotes to history based on dates in company profile, like Day End does in OrderEntry.

Softrak's reply (edited):
I will forward your suggestion regarding moving the copy quotes to history as part of the Period End process rather than a Copy process

All checkboxes are considered AND, rather than OR. In the screen shot example you provided with all 4 checkboxes selected, only quotes with all 4 checkboxes selected are copied, which of course is pretty much impossible because Transferred quotes aren’t going to also have Rejected and Expired statuses as well. What you currently have to do is run the process multiple times, one for each of the statuses, and perhaps a fifth for no status selected.

Thanks Steve

It's tedious but it works. But when doing it this way, there is no transfer date assigned to the copied quote. I also don't understand why a quote has to be 'deleted' when its moved. Doesn't it make more sense to delete it automatically when its moved to history? Why would anyone want the quote in two places at the same time?

Now that I am taking a good look at SalesCQ 9.2A, it appears that nothing has been done to improve this head-scratching process. I'm not sure how to explain this to my clients who have been waiting for years for the new version. What should I tell them?

When you do improve this process, don't take away the ability to copy history quotes back to open quotes. That's a feature that should be in OrderEntry!

Changes have been made to the seletion process for maintenance functions (print/delete/copy). Specifically, the logic for the check boxes. I'm sure it's documented.

Ah, I see the change in the Help section. Whereas it used to say:

To be copied, a quote must meet all the conditions of Transferred, Expired, Printed and Rejected you select. For example, if you select Transferred and Printed, only transferred quotes that have also been printed will be copied.

now it says:

To be copied, a quote must meet one of the conditions of Transferred, Expired, Printed and Rejected enabled. The Quote types enabled are or conditions, eg. Transferred or Printed if both are enabled

I think that change should be pointed out in the Release Notes. It's an important one.

It should also be pointed out that if none of those 4 options (Transferred, Expired, Printed and Rejected) are chosen, the quote is selected. That's assuming the quote satisfies the other ranges. That should give you better results.

Bob:

Good to know. I wish I'd known this trick a year ago.

Those changes are new to CQ92A. It wouldn't have helped the prior version.
