Hello:
I am doing some changes through maintaining financial reports. If I am working in Fiscal Year 2012 and do the changes, it accepts and keeps them. As soon as a switch to Fiscal Year 2011, the report goes back to the way it was without the changes. Changes involve adding new account, deleting some lines, putting in a new sub-total, and changing some accounts around. What I am doing wrong, that causes the changes not to stay for the other fiscal year? Any help would be appreciated. Linda

Is your fiscal databases in separate folders?

Hi Linda,

Changing the fiscal year will not undo changes made to a financial statement. It will refresh a statement, and it may be that the places you made changes are in areas that get deleted and recreated.

Is your Financial Statement a SmartSheet? Is it in the detailed Expanded mode while you are making changes? This is evident if you see column A with 'Generated rows' in many cells. Whenever a sheet is refreshed, rows with 'generated rows' in column A are actually deleted and re-generated. For this reason, you should not make any changes to a SmartSheet that is expanded because they likely will be lost.

On the toolbar, click the Collapse button (an up arrow) to set your SmartSheet to the summary mode. Then you can make changes such as adding accounts (by modifying the account range in column B), re-positioning accounts (moving rows to different places by dragging them), and so on.

If you still are encountering problems, please post some more detailed information as to the changes you are making, if the report is a SmartSheet, etc. You might require on-site assistance from your Adagio consultant. You may also want to view the recorded webinars for the Financial reporter, which provide tips for creating and modifying financial statements.

Thanks for the quick response.

I am using version 9.0C(101124). Carol, my consultant, also phoned me and informed me that there is a service pack from January.

Tech Supports tip on doing changes in the collapsed mode seems to have worked. I guess I better make time to view the webinars, because I would never have thought that collapsing the sheet would be necessary.

Anyway, at the present time, it seems to be working the way I want. Thanks again to all who helped.

In the next release of the General Ledger, you will not be able to make changes to a SmartSheet financial statement unless it is in collapsed mode.

Hopefully that will help others caught in like circumstances to you.

(On the other hand, it has caused me several times to think that the financial reporter was broken because I could not make the changes I was expecting while I've been testing the next release!)
