Since we are not able to sort the "customer notes" report alphabetically to correspond to our "overdue receivables" report for collections, we've been trying to limit printing of only the most recent notes. However, when printing it always seems to include some customers that have had no activity for years. I've checked the parameters of the report and it clearly states note date between "March 12 2007 to December 31, 2017" (this is the one I'm using for example). Included in the report are customers with no notes, and no transactions for years.

Any suggestions?

Hello Karen,

If all I enter is a date range, I get only customers with notes in that range. I'm running V8.0B (061213).

Just as an aside, is there a reason you're printing out these notes? Would it not be easier for the person doing the collections to just read the notes on the screen before they make the call?

Hi Karen,

If your customer has text in the 'Additional comments' section of the notes screen, then even if the customer has no 'dated' notes in the selected date range, this customer will still print on the Customer Notes report. Naturally, no dated notes will print but the additional comments will.

It is already on our suggestion list to include an option to print only customers with dated notes in the range, regardless of whether additional comments exist.

Hi,
We have had the same request for notes to match the AR customers on the AR trial balance and the Overdue Receivables reporting. Our solution which works quite well, was to modify the existing report(s) to add the notes field into the blank comments area, using Crystal Reports for Adagio. The result was that if there was a note for that customer, it printed just the last or most current note, if the include comments space was enabled on the reports. Your consultant should be able to modify these reports easily for you. Just make a backup copy of the modified reports so that when there are Adagio updates, the custom report(s) is not overwritten.

Hi Brian,

If you are replacing a standard Adagio report with one you have modified, place the modified report under \xxWIN\ModRP so that it doesn't get overwritten by a service pack or upgrade. The \xxWIN\ModRP subdirectory is automatically checked prior to loading any standard Adagio report.

Thanks to everyone who responded. Andrew, the report is used by several people in the office, NOT just the person who is making the calls. The one who oversees our collections uses it in conjunction with the overdue receivables report. They don't make the calls, but they certainly like to see what the latest "answers and responses" are from the customers in question.
I will check to see if our older customers with no activity for many years had any notes entered in Accpac. If so, I will try to delete them to get around having them show up in the reports.
A sort by "alphabetically" will be a wonderful addition to the module, and I certainly hope it will be a part of the next upgrade.

Hi Karen,

Your staff would rather look at a report than just browse the notes on their computer? You could create a SmartFinder list of the overdue customers, and they could step through the comments pretty easily.

Having said that, we are already aware of the request, so we'll see what we can do.
