We are fairly new users to DocStore and wonder how best to provide electronic documents to our auditors? We would prefer to not provide them with a full download of all of our PDFs and only provide them with the transactions they request. Is there a way to easily PDF all attachments from a transaction? I notice there is a PDF icon on the individual documents when viewing but nothing to PDF the combination of PDFs to one larger PDF.
I'm curious what others do to provide the backup to auditors but don't give them more than they need :-)
Thanks!
Karin

Hi Karin,

If you have "Export Documents" turned on in Financial Reporter, View, Customize, Settings; AND have the DocLink field enabled in your financial reporter TxDetails setup,

Then whenever you Excel Direct transaction details from your financial reporter, Adagio will create an Excel file AND a subfolder with the pdfs that had a DocLink. This will be saved in the ExcelDirect folder inside your Adagio data directory.

If you are cherry picking data for your auditor, then you would have to provide them with every Excel Direct file and all the related subfolders.

If you have GridView and are using it to cherry-pick the transactions requested by your auditors, include the {Doc Link} field on the View and enable "Export Documents" in the View | Customize | Views setting.

As with the Financial Reporter, ExcelDirect of the View results in a spreadsheet with links into a Folder created below the Folder containing the spreadsheet containing all the scanned documents.

Be patient after clicking the ExcelDirect button. It takes a while to find and copy every PDF out of the DocStorage Folder.

Thank you Lyndon and Andrew.
We don't have GridView but will try the Financial Reporter option to see if that is a simpler solution to individually saving the PDFs.

Definitely a simpler (and faster) solution than looking them up individually!
