I'm using an income statement that our consultant originally set up and have used for years to departmentally print ME income statements. Just did my upgrade to Ledger 9.2A, and now the first department prints correctly, but as each department prints it shows fewer and fewer accounts. Seems to be when it prints a department without a certain account in it, it removes it from the list, and that account won't print on any subsequent departments. By the time the last department prints the only thing showing is the total revenue/expense lines. Any ideas?

Hi Laura,

I ran a test with the Departmental Print process with Adagio Ledger 9.2A and sample data, where various accounts have amounts to some departments but not others. But all accounts have every department created, just some with 0 balances. I wasn't able to replicate a problem in this scenario where zero suppress hides those accounts-departments with 0 balances for one department, but appears correctly for the next department.

Do you have a different account setup where not all accounts have been created for all departments? I suspect that how the chart of accounts is configured is lending towards the problem - not that you have done anything wrong. Let us know if this is the case.

When you print your income statement, do you select the same departments each time you print, or is it an ad-hoc selection? If it's always the same list of departments, I might recommend creating a Statement Group that prints your income statement for the pre-selected list of departments. It would be faster to print this way, and also more flexibility on how it can be printed, including from the Reports menu in Ledger and also from Report Sets.

You may find that this is a better way to print your statement, rather than using the Departmental Print function.

Hi,
Yes not all accounts have been created for all departments. And yes this seems to be a contributing factor if I had to guess, just based on the progression of the accounts disappearing from the print detail as the department numbers increase.

I will try the Statement Group set up and let you know how I make out.

While I think that creating Statement Groups is a better way to go, I'd be interested in seeing the data and statement that you were trying to print.

If you use File | Backup | Ledger only and upload the file to http://www.softrak.com/dbr to my attention (send me an email when it has been uploaded) I will take a look.

In the email, let me know which statement was exhibiting this problem.

Thanks.
