We have been using distribution codes to input costs per truck. I have tried to find a report that then gives a print out based on distribution codes, (which would tell me how much each truck cost me per period) but there doesn't seem to be one. When I look up distribution codes, I am not sure this was what they were intended for. If this isn't what distribution codes were for is there a way of tracking cost per truck without setting up a gl code for each truck.

Distribution codes are not intended for the purpose you have described and I don't believe they are stored with the transactions in AP.

The solution is to use departments in the GL. One department for each truck.

Hi Patricia,

The distribution code is not stored on the vendor transactions, though they are stored on the 'GL distribution' sub-file that keeps track of which GL accounts were posted to by a particular AP transaction.

You have an option to use this file for a customized report or GridView inquiry, but Doug's suggestion is likely a better way to go.

Hi Patricia

While Doug's solution is good in general, if you have lots of trucks to track, or if you want to get a report that spans a fiscal year, then Adagio JobCost is the ultimate solution.

I have checked through export files in the GL as well as reports and I don't see a distribution subfile mentioned. Where could I go to access this information.

Hello Patricia:
Unfortunately the subfile that Support referred to neither has a report nor can it be exported. Do you have Crystal Reports or GridView? You would need one of them to do a custom report.
