My receivables transactions have not consolidated for the past two period end processes. The end of Oct. is now here and I don't want this problem to persist. I don't know why it stopped doing them correctly. I may have changed a parameter (although I don't remember doing so). Can you suggest things to check.

Hi, Sue,

Look in the Company Profile on the Integration tab, is the 'Prompt to consolidate?' option disabled? Enable it and you will again be prompted to consolidate Receivables transactions being passed to Ledger.

I'm curious though. I imagine you've been consolidating your Receivables transactions for a very long time. Do you recall why? I know that in years gone by sites did this as disk space was then an issue. However, in today's market disk is relatively inexpensive and allowing the detailed transaction information to go to Ledger makes it much easy to track back at a later date should this become necessary.

Why do you want to consolidate your transactions? Once consolidated, when they land in the GL you can no longer we what the source transaction is. This is a solution created 30 years ago when hard drive space was non-existent and very expensive. Today storage is next to free so we recommend to all users that they don't consolidate any more.

That's why we added the ability to prevent people from consolidating the transactions in the company profile.

Thanks for your questions and answers. 1) the option in the company profile to consolidate is still checked - that is what confused me 2) I was only expecting to consolidate because that is what I was told to do when I was shown how to use the program.

The thing that was annoying me most is that all of these transactions show up on the detailed Trial Balance and it is getting longer and longer. It previously did not show any invoices to which payments had been applied and no longer had a balance owing. Any idea what has caused that.

One other thing: we are only using Invoicing and Receivables (no G/L)

Hi Sue,

It sounds like you're talking about the Receivables transactions themselves, not the general ledger transactions they generate (to which this setting applies). Are you refering to the Receivables Aged Trial Balance report or the GL Detail Listing?

Transactions are moved from Current to History in Receivables when they are fully paid and Period End Processing or Statement Processing is performed.

Perhaps you could clarify which report you are referring to.

I am referring to the Aged Trial Balance (Detail by Document). And, yes, I am probably referring to the Receivables transactions.

I have done the period end processing for August and Sept. as I was previously doing but completed transactions from those two months are still showing on this report. I did notice that I was NOT prompted to Consolidate after the step for Print and Consolidate G/L transactions (the first step in the period end processing). I was before, so cannot figure out where the prompt went.
