How do I achieve viewing only active accounts when viewing a financial statement in expanded mode. Our company uses many departments which are available for all accounts if necessary, but they are not all active. In the ledger, the account/dept items that are not used are marked as inactive. If they are required, they are changed from inactive to active.

I have tried using the "active accounts" only button on the toolbar, but it is crossed out and does not make any changes. I still get all 12 departments for every account when the report is expanded, which makes it HUGE!

To build the statement, I used the RANGEDEPT command because I would like to be able to view these particular statements by select department as well. ??? If I use only RANGE, will I get only the active accounts in the expanded mode, but lose the ability to see the reports by Dept?

When you mean inactive, do you mean having a zero balance or specifically having the status of an account marked as Inactive? I suspect the latter.

What version of Adagio Ledger are you using?

If you want to hide all zero amounts (for active or inactive accounts), you can use the toolbar button called 'Zero suppress' that looks like a red circle and a slash through a zero. This hides all rows are all numeric cells on the row are zero. This might accomplish what you want to do, as inactive accounts won't have a balance or other amounts.

If you want to hide all inactive accounts, regardless of the balance, then the button 'Inactive accounts' you indicated is the one. Using RANGEDEPT, this shows all accounts in a range and there is no guarantee than all accounts and/or the department are marked inactive, so the Inactive Accounts function won't suppress rows. Similarly, it won't suppress expanded rows from RANGE because a single account could represent multiple departments.

Suppress inactive accounts on a financial statement works only when a single specific acct-dept is on the row. If you want groups of accounts on a single row (as RANGEDEPT does) then you can't use the Inactive Accounts button to do what you want.

You can use the Inactive Accounts button if .RANGE is used, and the account range in column B has something like 4000:4999-* (for all departments) or ="4000:4999-" & TRIM(DEPARTMENT(0)) -which reads the department from the toolbar drop-down.

Using Ledger 9C. When I go to the financial report, the "zero suppress" button is redlined out as you mention, but does not clear any lines that contain all zeros? The worksheet is a smartsheet, don't know if that makes any difference. I could send a screen shot if that would help. Inactive accounts are checked inactive in the accounts status so that someone doesn't accidentally post to a wrong dept and can only post to depts that are open for that account

If you use the print preview, the zero lines will disappear.

Zero suppression ony works in financial statements when the form is Expanded, and not when it is in the Collapsed summary mode. I assume that your report is Expanded and shows details.

If your report does not allow zero-suppression when you toggle the toolbar, even if all numeric amounts are zero on a particular row, there are 2 possible reasons.

1) You are printing/displaying the account code in some column other than column B. The financial reporter sees the account code as a number and thus does not suppress the row. If so, the solution is to delete that column and to print the account numbers, right-click on cell B1 and choose 'Make ShowAccounts'. This reveals column B for printing the account codes on SmartSheets.

2) You have a hidden column on your sheet that has a non-zero amount on the row, but you can't see it because the column is hidden. Collapse the sheet, then unhide all columns. Then delete all columns that were previously hidden and you don't need. Converted specifications from Accpac Plus GL could have many of these columns, including some for rounding errors that aren't uesd by Adagio and may be non-zero.
