We have set up the Ledger Options in the Bank Rec interface with the following:

Send to GL Reference: Bank Reference
Send to GL Description 1: Name
Send to GL Description 2: Doc. Description

When we post a "deposit-only" batch in Bank Rec, the information that goes to the GL Account for the bank is as follows:
Description 1: Name
Description 2: Batch Name
The information that goes to the GL account for the offsetting account is as follows:
Description 1: Name
Description 2: Doc. Description

Is there a way that we can change this so that the Doc. Description also goes to Description 2 for the bank side of the entry, rather than the batch name/description (which in most cases doesn't mean anything or is very general)?

I don't believe this problem exists when we post a regular batch (i.e. not a "deposit-only" batch).

Thank you,
Tanja

Hi,

Edit your Company Profile and go to the Interfaces tab.

In the Send to GL Description2 field, select User Defined.
In the Batch User Defined Format field under Description2, type %des.

Save the settings.

Newly created entries will send the Doc. Description field to Ledger for you.

Thanks very much. I will make this change and see how it works for us. Is there a standard setup that most people use as far as what fields from BR go to what fields in GL?

We've tried to make this as flexible as possible to give individual sites more choice.

Take a look in the Help documentation either by hitting Help on the Company Profile and looking at the Interfaces tab help following the User Defined link or, from the Help window, search for User Defined. There are more options and combinations thereof available to be sent to the GL using User Defined.

I have made this change and have created and posted a deposit-only batch in BR however it is still sending the Batch Name from BR to the Bank account description line in GL rather than the header description from the entry. Any other suggestions?

Thanks,
Tanja

What are you referring to by this? In BankRec there is only one possible combination, not two as you appear to be indicating.

When posting a Deposit-only batch, two accounts that get updated are the bank and the bank clearing. For the Bank Clearing account, the 'Doc Description' or the %des user defined code send the Document description to the GL Description field. For the Bank account, both of these choices use the Deposit Description and neither revert to the document description.

We have sent a note to the programmers to see if we can separate the information into separate user-defined codes, where the deposit description can specifically selected if that is desired. For the current time, what you want to do is not possible.

Thank you for clarifying and for requesting a change to the program. We will work around in the meantime.
