I am trying to find the most efficient way of dealing with non billable time. I track non billable codes to a client and a case number. When I print the billing memo each entry comes out inthe order I entered and posted it without showing what non billable code it went to. Is there a way to show the codes on the memo and sort by code or at least by staff member?

Because the standard reports such as the Billing Memo are generated by the system, rather than from a specification that you can edit, when you print the Billing Memo, the only options you can change are located in the Time & Billing module's | Housekeeping | Edit Firm Profile - Billing Options (screen 3). After that, the only options you have are in the actual Print Billing Memo screen, where you can "Select by" Staff Member 1, 2 or 3 and then you can enter a range for the "Staff Member" option you have just chosen. Unfortunately, you do not have an option to sort by code, whether it be source code, disbursement code or "non-billable" category code.

Non-billable time (as far as TBR goes) is considered time spent that you cannot bill the client for - ie time spent doing other tasks in the office unrelated to specific clients or files. Thus, tracking time spent in this way can be accomodated by setting up "non-billable" categories.

On another note, regarding your quest for finding a more efficient way of dealing with "non-billable" time - what you are calling "non-billable" time is actually time spent performing tasks relating to your clients and files, but you are not going to charge for it - is this correct?

If so, normally, this time is entered in the same way as your "billable" time, but with a zero amount as the dollar figure. (In other words, you would enter a billable time transaction with associated hours with a zero amount.) Using this method, you can more easily track this time on your various reports. If existing source or disbursement codes are not reflecting what you need, then you can setup new ones that will meet your requirements.

Traditionally, non-billable categories and codes are associated with vacation, sick days, Stat Holiday, Training & Education etc.
