I have digital *.tiff's stored in Laserfiche software, is it possible to migrate them to Adagio Doc Store? If it can be done how would we proceed? (I have approximately 2,500 files stored in Laserfiche as .Tiff files).

Hello,

You will need to convert them to PDF. You can use Snagit to convert them all and it even lets you set a naming convention for the files. If you don't already have the program Snagit by Techsmith, you should. At less than $70, I think it represents the most value you can get out of a piece of software.

Once the files are converted, how you migrate them to DocStore depends on where you want them attached.

Dan's solution will work, I believe, if you have one document in each TIFF file, but only to create PDF files and not to attach them to existing posted transactions.

If each TIFF file has documents for multiple transactions then a different solution will be required.as you need one PDF per posted transaction.

Dan's solution also only addresses the problem of converting TIFF to PDF. If you then looking to attach the PDF files to existing posted transactions in Adagio you will need someone who can modify your Adagio database to add DocStore links to the existing posted transactions.

We have some experience with this problem if you or your Adagio dealer wanted to reach out to us for assistance.

I thought it was obvious that I was only pointing out a method of converting the files to PDF. And I made it clear that migrating them was a different step that required further information.

Here are the naming conventions for the files in SoftPDF. If you follow these conventions, then the DocStore Menu Choice to "Process SoftPDF" will automatically attach these PDFs to your posted transactions in Adagio.

  • Invoices:
    Six character Customer number – pad left with ‘_’
    Separator ‘_’
    Application prefix ‘IN’
    Separator ‘_’
    Type Invoice or Credit ‘I’ or ‘C’
    Document number – pad left with ‘_’ to length 8 or 12 (*)
    Optional unquifier separator ‘_’
    Optional unquifier ‘001’, ‘002’ for printing duplicate invoices

    Examples:
    SDS011_IN_I___62367.PDF
    SDS011_IN_I___62367_001.PDF, SDS011_IN_I___62367_002.PDF if there are multiples
    _ALB01_IN_I____1234.PDF

    (*) the document number is padded to length 8 if the invoice number is 8 characters or less, otherwise it is padded to length 12


  • OrderEntry:

Knowing the file naming convention gives a programmer a starting point for the specific file types you mentioned but they would still need to extract this data from the TIFF files, including converting them to PDF documents. Something we have significant experience with.

As the original poster didn't mention what types of documents where in the TIFF files, are there naming convention for;

Payable Invoices, Credit Notes, & Payments?

PO's, Receipts, Returns, and Misc documents applicable to them that you could attach to those transactions with DocStore? Not to mention the Vendor invoice? Which would then lead to the invoice and supporting PO being attached to the AP Transaction.

I don't believe these exist but I don't believe that would prevent us from being able to modify the data to include a properly structured DocStore link for existing transactions.

Hi Doug,

The files in SoftPDF were generated by applications when they created the form. There is no naming convention for Invoices received from Vendors for AP, or cheques (checks) scanned for cash receipts in AR.

If there are a large number of files, then there is a well-defined interface for a programmer to attach documents to Adagio transactions.
