Hi,

I went to install the new Adadio Ledger 9.0 and it asked me if I wanted to replace the old version, warning me that I wouldn't be able to change the old data. What do you advise I do?

If I don't replace the version and instead install the new version in addition to what I have, will I run into problems with my other modules recognizing to which ledger to export batches?

Hello cdesnoyer,
I would advise you to leave the old version in place until you are sure that you are not going to need it.

Ledger 90 allows you to retrieve information from your prior year backups BUT you may need to post Year end adjustments in the prior year data so that the ending balances for a year will match up to the opening balances for the next year. Ledger 90A will not retrieve from data that has been converted to the 90A format.

You will not have problems with your other modules. Ledger 90 is capable of recognizing and retrieving the subledger batch files created for earlier versions of Ledger.

OK

Do I follow the instructions with the setup as normal, and just say no when they ask whether or not to replace the old version?

Also, where do I install the program to? Usually the install will produce the default location. Is it OK to install it there or do I need to install it to a different spot to keep both versions active?

Say Yes to install version 90A and then when you get the message for ‘Pre-90 Version Exists!’, choose Yes to keep the prior version program.

You should install the program to the same location as your other Adagio modules. Ledger 90 will install into the Softrak\Ledger directory. Earlier versions are installed in Softrak\Alwin directory.

Thank you. I have now installed the upgrade and the service pack for the new ledger 9.0.

I have another issue now. We created a new financial year in the ledger. Then we posted an invoice batch for period 1 of the new year. It shows it has posted in the invoice module(because it was seen in the posting journal). But it did not get retrieved in the ledger module. Can you help?

Do you have any batches to retrieve when you open Retrieve Subledger Batches?

If you don’t see the batch, it may already have been retrieved.

If it was retrieved after you created the Next Year and the entries were assigned to ‘Period based on date’, it will show up under Next Year Batches.

If you don’t see it under the Next Year Batch List, check Current Batches.

No - I have no batches to retrieve when I open the ledger module. I have nothing under Next Year Batches and nothing under Current batches. And I have not done anything else in the new ledger module except convert the data and create the new year.

Hello,

The invoices posting journal you're referring to, what Adagio module was it created in?

If it was created in Invoices, then a subsequent batch would need to be posted in Accounts Receivable. In that case, the batch that should be retrieved into Ledger would be from Accounts Receivable.

Was the batch posted in Accounts Receivables? It would need to be posted there before it could be retrieved into Ledger.

OK - you have solved the problem! Once I opened the A/R module and then closed it again (without posting anything), I opened up the General Ledger and the batch was there waiting to be retrieved from the A/R. I'm sorry for any inconvenience I may have caused you! Thank you for your help.
