We have our items set as "User Specified" and have entered the cost of each item under both standard and recent cost in the Inventory module. Some of the items the cost now displays as 0.00 and some of the items have costs that are much lower than what we had originally entered. What is causing the costs to change and is there a way to get them to remain fixed. Normally the girls do not look at the costs and do not even have that information. It is something that because we have it set up we thought they did not need to have that information. If we can't get the costs to remain fixed we will have to look at alternative systems.

"User specified" means that you want the operator to enter the costs when the item is sold. "Standard cost" will be used if that is the costing method specified for the Control Account set for the specific inventory item. You tell Adagio what costing method to use for the item with the Control Account Set.

The actual cost that is passed to the general ledger is based on the costs of the goods as they are received and whether you are using "LIFO", "FIFO", or "Moving average" costing. If you have selected Standard Costing, then the costing variance from the calculated average cost will be posted to the cost variance account. These are specified with the item category.

So, when you say that the items have "costs of $0.00", what number are you actually referring to? If you are looking at the Inventory Valuation report, then this is based on the costs of items that have been received. If you have not received any items, then there will be no costs recorded.

I received your responce six weeks ago, did not understand it and did not have time to figure it out at that time. Now I am back trying to get it to work. We are not entering out purchases through the inventory module. Is there anyway that when we imput the costs in inventory the cost would remain the same until we manually chage them? Otherwise I will have to figure out what all we have to do to enter purchases thrugh the inventory module. Thanks.

How are you entering your purchases? Numbers do not change of their own accord. You need to answer the question "What number are you referring to?" As I mentioned in my first reply, User cost 1 & 2 are manually entered, as is Standard Cost. Receipts entered through Purchase Orders can change these numbers, but you do not have this module.

How are you expecting costs to be calculated if you do not enter receipts? Perhaps a discussion with your Adagio Consultant about how Inventory Costing works might be worthwhile? Or you might read the section in the manual you'll find in \Softrak\Manuals.

We entered the costs in the inventory module under standard and receent costs shen we do year end inventory. These numbers are entered on each item. For a number of years we did not seem to have a problem. Now, suddenly items that always showed up with a cost of $12.06 each now show as 0.00 and other items that showed as 98.43 show up at $47.28. What triggers this change? What is frustrating is that it use to work.

Someone editing the items and changing the costs on file "triggers this change". The last edit date/time/user is stored with the inventory item and can be displayed on the Grid. Or, take a look at the historical transactions for the item and see what people have been doing.

These numbers don't change on their own.
