I would like to be able to delete some of the older, no longer in use, item codes from our inventory module. These are items that were valid at one point, but for various reasons, the most common being that our vendor no longer makes that particular product, are not needed anymore.

However, there is history on these items, and at one time, it was felt better that they were not deleted, otherwise, errors would occur, of course because the item is on an invoice, even if the invoice is now in history.

What is the best way to approach items no longer in use?

There are 2 suggestions I can offer, and others may have different things to suggest:

1) Change the item description of unused items to 'No longer in use' or something similar, remove the 'Active' status on the item, and perhaps put an Alert on the item to pop up for entry staff, to suggest an alternate item code or other pertinent information.

2) I believe the program Item Number Changer for Adagio is able to merge items together (please correct me if I am wrong). You could merge all the items no longer in use into a single item called 'Outdated items'. This would hit IC transaction history as well, and I believe OE invoices and other locations too.

Hi Barb,

FWIW, the integrity checker in Adagio OrderEntry does not check for the existence of inventory items that are only in the history file.

Using the Item merge function can cause integrity errors if the two items being merged have different stocking units of measure. What I do is to create a series of obsolete items, such as ZZ_CASE, ZZ_EACH, etc, one for each unit of measure, and merge items into the appropriate obsolete item.

Thank you for the suggestions. May I request an archive area within the inventory module for such instances? Merging would be far more time consuming than simply clicking on an item code and then clicking an "archive" button.

As this is for "clean up" and is not necessary, I would not like to use up too much time on it.

Hi Barb

That's a really good idea (but I don't work for Softrak so my opinion means about as much as your opinion). It goes along with an idea I've been bugging Softrak about - to be able to enter not yet stocked items in a separate table. This would be useful for their soon-to-be-released (I hope) quoting module. These items would have the same relationship to normal items that prospects have to customers in AR.

Hello Steve,

The problem with "prospect items" revolves around adding them to Inventory when a quote is turned into an order, and what to do if that process fails.
