Me again

I have just started using Crystal Reports and am having trouble locating data that I want to show in the report. Of particular interest is the G/L account and department distribution for vendor transactions. I have tried different files and fields but they seem to be empty. Could somebody please point me in the right direction? I would also be very interested in a cheat sheet(what's where) for all the adagio files if that exists.

The file you want is called "APW68 A/P G/L Disbursements"

Your best bet would be to use Adagio GridView to get a feel for the tables and fields. You can download a demo version at www.adagio-accounting.com. It is much more user friendly than Crystal Reports in this regard.

I don't seem to have any APW68 files, they are all APW65s, and none of them has a description of A/P G/L Disbursements, and unfortunately, my demo version of gridview has expired so I am still a bit lost. Any other thoughts?

Hi Sandra,

Are you using Adagio Payables? The tables and vendor transaction GL accounts are only accessible with Adagio Payables and not with Accpac Plus AP.

GridView would have access to this information as well. If all you want is the GL activity within the vendor transactions and nothing else (including the vendor transaction itself), then GridView is the easiest way to go. If you want to link the GL records to anything else, or desire presentation quality reports, then Crystal Reports is the correct tool.

Your problem is that you are using Adagio AP version 6.5 and never upgraded. Even though that version stores the information you want, the table was not made accessible to Crystal Reports, probably an omission on Softrak's part. It was fixed in version 6.8.

Of course, Adagio AP is now beyond 6.8 and onto 8.0. You should upgrade AP, and try to keep current - it's a lot cheaper and less aggravating in the long run.

This is quite interesting, but things are never as simple as they seem.

I am using Adagio, not ACCPAC, and I upgraded to Payables 8.0 as soon as it became available. For some reason the data tables being offered all start with APW65. Being VERY new to this, I can only guess that I am not looking in the right place or starting at the right point. Thank you for the suggestions about Gridview, but I do need to get this working with Crystal. I will continue to T & E and will check back on the forum for other thoughts. Again, thank you for the ideas - it makes this process much less lonely.

Now I'm answering my own questions. I was going directly to my data via APGLOB which left off all sorts of interesting files. So, the bottom line(to use a well respected accounting term) is that I found the file I was looking for. Thanks for the hint(s).
