Our year end is September 30th. In A/P I just did a Year End and Period End for September 30, 2022... So why do the YTD & PTD statistics not show any invoices or payments from October 2022 to now?

...I only ran the YE & PE so that I could get some statistical information for the current year but there doesn't appear to be any.

When the year End process is run, it sets the YTD figures to zero for each Vendor. Payables doesn't really know about dates for those PTD and YTD figures. It just accumulates dollars and quantities until the next time that the Year-End process is run which sets them to zero again.

If you have the Adagio Toolkit (add-on product from Dakota Software) it does have a function to recalculate the PTD and YTD figures.

...so you're saying the Period to Date information isn't actually information since the last Period End date...???

We do have Toolkit. How do I do this? ...nothing is making itself obvious...


ETA - I don't seem to have that feature in my Toolkit, contacting Dakota for more info. Thanks.

Hi Jean

Rather than contacting Dakota, you should contact your dealer. Your dealer sells you the Toolkit function(s) you need, not Dakota.

Just so you know, once you purchase 6 of the functions, you get all of them.

You can see the problems with relying on those Vendor statistics. The accuracy of the figures is entirely dependent on when you run the Year-End or Period-End process. If you are disciplined and run it exactly on time, the figures are accurate, but you still have the failing that you can't see past periods.

Depending on what you are trying to track, an alternative is to use the "Vendor Transactions" report which can be run with a Date Range. Remember to choose one of the "Current and hist." options for "Format". Then put check-marks on "Fully paid transactions" and, probably, "Summary Only" (your choice on the latter). These will be tax-in figures.

So this may be a silly question, or more of a programming question. But if Toolkit is able to recalculate the vendor statistics, why can't Adagio just calculate the statistics correctly in the first place? Obviously the information is there...



...and we get our Toolkit directly from Dakota, not from our Adagio dealer

I guess the answer to your question is that basic Adagio doesn't normally deal with fixing screwups, so Toolkit fills in where Adagio leaves off. Of course Adagio COULD do that, but the history of Adagio is that it is the successor software to ACCPAC Plus from the 80's and 90's, and that program also used a third-party add-on to fix screwups.

I've never heard of Dakota selling directly to end users. You must be special.
