We are attempting to utilize the "attach unpaid documents" feature in AR and have a couple of questions. First, I should say we are using AR 9.2A as well as INVOICES 9.2A

1. Is the program pulling the invoices from the "SoftPDF" folder or the "DocStorage" folder?
2. How can we have the invoices printed in the INVOICES module save to this folder?
3. How can we have invoices that are imported from 3rd party (RMS for example) also be sent? Can we scan & name the invoices using a certain naming convention so that they would be sent as well.

Hi Liz,

If your versions of Receivables and Invoices are in fact 9.2A, then neither of these versions are compatible with Adagio DocStore and will only use the SoftPDF folder. The application version must be at least 9.3A in order to integrate with DocStore.

If you meant to say version 9.3A for both Receivables and Invoices, then the DocStorage sub-folders are the location for viewing attached PDFs. And printing forms like invoices will create PDFs in both folders (DocStorage and SoftPDF). For Invoices, you have to ensure that 'Archive customer PDF copy' is enabled in the company profile for the extra PDF file to be generated at attached when printing/emailing invoice forms.

For external forms you would like to attach, you can do so either by scanning paper or attaching PDFs manually to the Invoices batch. Or you can include the path to an existing PDF in the Import Invoices file if that is most convenient, and have a PDF document field in the import template to use it for attaching. There is no special naming convention necessary with DocStore attachments and PDF file names.

Attaching invoices from a 3rd party solution isn't as simple as Support has made it out to be (assuming you can consider manually scanning the invoices as a simple task). After you manually scan them you will have to name each file using a very specific 22 character file name so that Adagio can correctly identify the file that needs to be attached as it generates the Statement email.

We've created a solution for our clients that use third-party software. It captures the invoices as they are printed, creates the PDF file with the correct file name, and puts it in the SoftPDF folder. For v9.2 it required Adagio ePrint. For v9.3 you will need Adagio DocStore but then we can also attach the PDF copy of your invoice to the transaction, same as if the invoice was created by Adagio Invoices or Order Entry.

I do not see in INVOICES where you can select "Archive to PDF" like in OE.

Hi Liz,

This option is found on the Print/Post tab of the Invoices company profile, in the top-right box with the Printing label.

Enabling this option will create a PDF file in the SoftPDF folder (and the DocStorage folder when DocStore is used). This PDF would be available to attach to AR Customer statements as well as be viewable in various places in Adagio modules.

If you are attaching externally created PDFs, then Doug is correct that they have to be named a certain way in order to be attached to customer statement emails. And saved in the SoftPDF folder so that the Process SoftPDF to DocStore procedure can 'file' them to the expected place(s) for Adagio to use them in customer statements.

Externally attached PDFs do not require a specially named format if all you are doing is viewing them in Adagio.
