At our year end (Sept/05) we printed a Standard report of top 20 customers for the year but found it did not match with our A/R customer statistics. Now I have some time and I'm trying to get this report to print correctly. I have printed an online enquiry to show which amounts S/A is picking up and found out it is not including misc. charges or tax. So I found that I could click on to include these and tried again but it is not picking them up. I have even walked away for a couple of days and come back to it and did a new retrieve data. Any suggestions?

Hi KEMLTD,

The 'standard report' for top 20 customers is for sales only and does not include misc charges and taxes, regardless of what you have selected to retrieve in the Company Profile. If you do choose to retrieve either of these, this means that you can use Online Inquiry, or GridView or Crystal Reports, to get the totals by customer you are looking for.

Adagio SalesAnalysis has a Top 20 customer YTD inquiry already set up as one of the pre-defined samples - you could use this. Make sure that on the first screen, the choices to include all record types (line items, misc charges and taxes) are selected.

Also make sure that the number you are comparing from AR is not just the YTD invoices but also incorporates YTD credit notes, which also populate SalesAnalysis data if you process notes from OrderEntry.

Thanks; Could you tell me how to find pre-defined samples? Is it in the sample data?

Hi KEMLTD,

When the Adagio SalesAnalysis database was first created or converted, all of the sample Online Inquiry templates should have been created for you. It's possible that they may have since been deleted, but it could still be there. Simply click on the 'Inquiry' button on the toolbar, then scroll to near the bottom for the Top 20 customers inquiry template.

If it is there, then you will need to edit it and make sure misc charges and taxes are selected. You also need to edit this particular sample to allow lines with zero profit - do this by highlighting the 'Profit YTD' field in the grid on the right-hand side of the Select Fields screen, and click the button with '=0'. Save the inquiry.

Note also on the inquiry that you can select either Calendar YTD or Fiscal YTD - choose the option you need.

If the inquiry has been deleted, then you can import it from sample data. First, open sample data in \softrak\srwin\samdata and follow the same steps above to locate the inquiry template, to make sure it is there. Then from the File menu, choose Export and Inquiry Templates. Highlight the Top 20 customers and click Export -and specify the file (or leave as default). Then close sample data and go back into your data, then choose File / Import / Inquiry Templates, and import that file that was just exported.

You still have to follow the steps above for editing and getting it to work with your data.

One more advantage to using Online Inquiry is that you can print Bar Graphs.

One dis-advantage is that the Top 20 customers will not be sorted by the YTD amount - but you can export Inquiry results to Excel using the Excel Direct function and sort the information there.
