We installed the latest updates and service packs: AR V9.2A (170711), EFT V9.3A (170624), Ledger V9.3A (170625), AP V9.3A (170623). The installation went fine.
The first batch to be retrieved from the AP module created the message:" ERROR retrieving batch APALBTCH. Your data may be damaged please restore from backup."

The transactions are posted to the AP subledger.

Is there another option other than restoring from back up ?

Thank up

Further to the question:
I ran the data integrity check and message when attempting to retrieve subledger batch:
"Invalid record type in batch file"

Can you print the report Reports | Print/Consolidate G/L Transactions from Payables? Or is it garbage?

If you can print it, then you may have to end up keying the entries into Ledger manually, and deleting the APALBTCH.xxx file. It depends on how many entries there are and whether you are OK with entering totals (per account) instead of details.

If you can't print it, then it is trashed and there isn't much you can do about it, other than restoring from a backup, unless you know what was supposed to be retrieved, and can key that in manually as Ledger entries. If you don't restore from a backup, then delete the APALBTCH.xxx file.

Softrak offers a data repair service, but for this kind of data corruption it usually isn't worth the money.

Thank you for your response. The report is garbage.
We have confirmed that all the transactions in each vendor file of the AP sub-ledger are correct.
Fortunately this is a very small batch file with 9 invoices payable to 5 separate vendors.
The fear is the next batch is rather large and would be very costly to re-enter.

Hi,

Do you have the pre-conversion to 9.3A data for both AP and GL?

If so, would you upload the zip with that data to our database repair site at softrak.com/dbr flagged for TechSupport and with your Company name in the Comment field please?

I would like to take a look at it and will let you know whatever I might find.

Thank you.

Good morning,

I've encountered the same issue after installing the latest versions of GL & AP.
From reading the previous replies, I manually entered in the AP batch; however, I'm again encountering the Error "Invalid record type in batch file" "Error retrieving batch APALBTCH. Your data may be damaged. Please retrieve from a backup."

As there has been a lot of work done since the upgrade, I'm worried about retrieving from a backup, and losing info.

I've uploaded the last couple of backups for AP & GL to softrak.com/dbr, flagged for TechSupport.

Hoping to have a fix for these new versions soon.

Thanks,
Mike

Hi Mike,

I downloaded the 4 zips you sent up, for both the before and after company data for AP and GL.

With the data zips for AP and GL dated July 13, already converted to the 9.3A data-level, I simply unzipped these both, opened Ledger 9.3A, and retrieved the AP batch. I did not get an error and batch 527 was created with 29 entries. If this is the data that you are experiencing the problem, I was not able to replicate.
---
There was a data conversion for the file length of batch file that gets retrieved from Payables into Ledger, for version 9.3A. In addition, there is a another data file that manages the subledger batch retrieval, that also has a change to the file size to match. If the actual data file and the managing retrieval file get out of synch, then that would result in the error you reported, but that was not the case in the data you uploaded that was converted to 9.3A - both were updated successfully to the new size.

If you still get the error with the data at the 9.3A level - I presume when you are in Ledger and attempt to do the Retrieve - then could you check with Windows Explorer and the data directory, what the file size of APBRSCAL.DAT is? Right-click on the file and choose Properties. The older pre-9.3A file will be 533 bytes, and the updated 9.3A file will be 561 bytes. Perhaps also within Payables, preview the GL Transactions report, just to confirm that the results look correct, and not corrupted, to make sure that data files and dictionaries are in synch.

Can you also confirm that you regularly store the Payables and Ledger data in the same folder? And also confirm that you have the Payables and Ledger programs installed and accessed from the same \Softrak folder? The process of moving the batch retrieval process up to the newer, larger files requires that the Payables and Ledger programs and data can 'see' each other, to know when the appropriate timing for the size change.

Yes, we store the Payables and Ledger in the same folder
\Softrak\

Yes, the error is received when attempting to retrieve Payables when in the GL

I've confirmed everything, and everything seems fine; however, I still receive this error. This has only happened since the upgrade.

Hi, Michael,

I'm hearing that you are still receiving the error when trying to retrieve AP9.3A to GL9.3A using the same data from July 13th that you uploaded to us. Yet we are not receiving the error here.

Would you drill down to the Softrak folder on the server and run Softrak\System\ChkSys.exe, select Proceed and then, in the upper left corner of the next screen, select the System Snapshot button. On the subsequent screen select to Take Snapshot and note in the upper middle portion of the screen the filename of the zip that is created in the Softrak\System folder.

After, attach the zip file to an email and email it to support@softrak.com please. I'd like to try and determine what might be different in our Adagio environments.
