Hello. I just upgraded to the newest version of Adagio Order Entry in December. It has a great new feature where I can put sales statistics (sales LY, Sales YTD, Average days between shipments) in my item grid to give me a quick view of what is selling and what is not. The problem is that the statistics don't seem to be separating by years. Across all items we have millions of dollars in sales YTD, and $0 in sales LY. It appears that it is grouping all our sales data across many years into the YTD Column. Any advice? Thanks.

Corey:

That means that you haven't been running the Year End process in Inventory Control. The Year-End process doesn't do a lot in that module, but one of its tasks is to move YTD figures into LY figures. Then it sets YTD figures to zero.

So the good news is that you know what you've sold of each product since the item was first added to inventory. smile The bad news is that you don't have accurate figures for this year and last year. You can fix this by purchasing a utility from Dakota Software Adagio Toolkit. If you have time, ambition and GridView, you can calculate those figures and import them into Inventory to overwrite the existing figures.

Thanks! I assume Inventory control is an additional module that needs to be purchased?

Hi Corey,

The Statistics fields you quoted are meant to be used when Adagio Inventory is integrated with Adagio OrderEntry. If you do not currently use Inventory, then these fields are not meant to be used. It's interesting and unexpected that non-zero values are in these fields for OE items when Inventory is not integrated. As you see, there is no Year End function in Order Entry in order to move statistics to a Last Year area, in the same way that Adagio Inventory does as mentioned by Bruce.

I would not recommend purchasing Adagio Inventory for the sole purpose of keeping track of yearly statistics. A much more valuable addition would be the Adagio SalesAnalysis module, which is designed to keep track of detailed sales information from Adagio OrderEntry. A huge benefit of SalesAnalysis is that when initially setting up that data, you can Scan the entire contents of your OrderEntry transactions - including history - so that you immediately get the Year over Year sales information by item.

Corey:

Support's answer is better than mine. I should have paid more attention to the fact that you said "Order Entry" not "Inventory Control".

Hi Corey,
Actually, a better investment if you have the choice would be Gridview rather than Sales Analysis. While we love the data that gets retained in Sales Analysis and can do even cooler queries with data if it's in Sales Analysis, we would go first with Gridview linked to your Order Entry data and then later consider if it makes further sense to add or go with Sales Analysis.

For what it's worth.

Best,
Brian

I agree totally with Brian.

While getting both SalesAnalysis and GridView would be the ideal, if you had to choose one, choose GridView. GridView, in case you aren't familiar, is a report writer.

It's harder to write the report linked to the OrderEntry database than it would be linked to the SalesAnalysis database, but not that much harder.

Corey - Please be aware that when you install and fire-up GridView, you initially are looking at a nice, clean, blank screen.

My colleagues are absolutely correct – GV opens the door for you to generate meaningful Views/Reports on your data.

But someone has to put the reports together.
And that means that it is either you, or your consultant.

To get started, have a look at the “Show-Me How” training videos.
I just checked, and there are currently 4 separate videos on various topics of GridView.

Good luck!
