Is it possible to prepare invoices to email and then have them send automatically on a specific date in the future? I email monthly invoices to tenants around the 25th of each month, but I'm going on vacation next month for the last 2 weeks of August. Am I able to prepare the emails early and tell Adagio to automatically send them on the 25th? Or do I need to actually have someone in the office go into my email queue in A/R and send them manually?

Thanks,
Jean

Someone has to send them manually. While you can schedule faxes, so they don't wake people in the middle of the night, you cannot delay emails. At the time this was designed, we couldn't think of a reason you would want to do that.

(Even if they were in the queue, someone would have to start up Adagio in any event to give it a chance to send the emails.)

Thanks Andrew. It's easy enough for me to have them ready to send from the queue, so I'll just do it that way.

Hi Jean

Depending on the email program you use, you can schedule email deliveries. I use Outlook (2010), and it's just a case of creating a new email, selecting the options button, and setting the time you would like the email delivered. Click close, attach the invoice pdf, select recipient, and click send. It moves the email to the Outbox. When it reaches the time you've set, out it goes.

Hi Mike,

But I think your workstation must be logged in and powered up with Outlook running in order to actually have the send occur, doesn't it? And of course, you need to be using MAPI as the email send method in Adagio, not Direct.

If you're running a hosted Exchange Server, does it take care of the sending in your absence?

Hi Andrew,

Yes I think your workstation would need to be on; hadn't given that part much thought as mine's always on. Going to check on the Exchange Server too.

I've only used this feature a few times to send myself reminder messages. But to send an invoice, MAPI or direct send methods don't matter. If you have "Add to Queue" selected, it will print a copy to the Softmail folder. You can then either mark the email in the queue as completed (my preference), or go to the new outlook email, attach the invoice from the Softmail folder, and then delete the item from the email queue.

Just a follow up. Andrew's right in that the workstation must be on to delay send in Outlook. Now you have two options. You can set-up your computer to automatically turn on and off (http://lifehacker.com/5831504/how-can-i-start-and-shut-down-my-computer-automatically-every-morning), or your can delay send through gmail using an add-in called Gmail Delay Send (https://code.google.com/p/gmail-delay-send/). It's easy to set-up, just follow the instructions in the short video.
