I am looking to add a new Department code for a new project that I will be handling (simple task I am sure but my system was already set up when I took over the job & I have never had to add one until now).

Followed the steps in the help drill down on this topic but I do not think that it added the Dept code to each of the GL Accounts as I need it to do. Is there an additional step or so that is not included in the Help instructions.

Hi Rhonda,

If you simply create a new department, there is no option to additionally create the matching accounts. If instead you Copy an existing department, you have the opportunity to create the GL Accounts at the same time. The list of accounts associated with the original department is available to pick and choose what you want to create for the new department - you can do all of them or some sub-selection.

You cannot select new accounts not associated with the original department during copying - this can be done manually after the copy - so pick a department to copy that has the most accounts, as it's easier to delete than create.

Hi Rhonda,

As the help describes at the bottom: "If you didn't use the Clone account function, after creating the department code, you will have to manually add the necessary accounts referencing the new department to your chart of accounts."

The quick fix around this is to delete you new department and re-create it again. Select 'New" and on the screen where you fill out the department, description and retained earning information be sure to select the option to "Clone Account". Then use the Control and/or Shift key to select the accounts that you would like to have the department appear from the list of your chart of accounts at the bottom. However using this function will clone all of the information that is currently on the accounts that you are choosing to clone from. Be sure that this is what you want to do before proceeding. You can always try testing this in sample data to make sure what you are attempting to do has the end result you are trying to achieve.
