We are trying to set up direct emailing of invoices, as opposed to emailing them with MAPI through Outlook, and can't seem to get it to work. We have entered our mail server name, etc., but when we send a test email we receive an error message saying that there is an error and the email was not sent. It does not tell us what the error is so how do we troubleshoot this?

Which module? Version? Have you checked the Help (Press F1 on the email setup screen).

Invoices module. Version 9.0 Yes - I clicked on F1, which is usually pretty helpful, but it doesn't provide any further information

Carefully check the spelling of the name of your mail server. Find out from your IT/ISP whether the server requires authentication in order to send e-mail. If so, then enter your userid on your mail server and password. Confirm with your IT/ISP the port number the mail server uses to commicate with.

Click on the Test email button. A plain text e-mail is sent using the settings you have entered to the "reply to" email address at the top of the dialog. If there is anything wrong with the settings entered, then the e-mail will fail. It fails because there is something wrong with the settings.

Are you using Outlook? I usually get all the information I need by looking at the Account configuration in Outlook.

-"Mail Server" = Outlook "Outgoing mail server (SMTP)"
-"Display Name" = The name you want to show on the email (ie. Ruth - ABC Company)
-"Account Name" = Your email address
-"Password" = Your password to gain access to email
-"Port" = Outlook - click on "More settings" button then on the "Advanced" tab - Look for "Outgoing server (SMTP)"

The hard one is usually the password since many users no longer remember their password. The Outlook references are based on Outlook 2010. All of the same information is there in earlier versions; the fieldnames may be slightly different.

Hi Bruce

I want to thank you for your posting above. It helped me resolve an ongoing problem I've been having emailing invoices - it turns out I had entered port 25 and following your instructions I realize it needed to be port 587.

I think Bruce's posting should become a tech note on Softrak's website, if it isn't already. And definitely part of the second page of the next The Score.

We are still unable to get this to work. Our IT person has tried various mail server names and account names and is certain that we have the correct port. If anyone has suggestions please post them on this forum. Thanks.

Do you have Outlook installed on the machine you are trying to do this from? Can you send successfully through Outlook (Mapi)? Have you ascertained that the settings for the Direct method are identical to the settings in Outlook?

Having your IT person explain to someone who has no idea what they're talking about is sometimes a way to discover a problem.

We can send them through Outlook but it is cumbersome: We get a warning message twice, and have to click on "allow" twice, and then the emails get stuck in my outbox. We then have to go in and forward all of the emails (you can't just hit "send" again - it isn't an option), one by one. My understanding is that if we send them directly it is much easier.

It is. But if Outlook can "talk" to your SMTP prvider, then Adagio should be able to as well. Perhaps there's a firewall issue? Some anti-virus software prevents "unknown" applications from sending e-mails. You might want to look there too.

Assuming that you are sure that "all" the outlook (including port) info is the same, have you tried:
(1) Logging on to the account via a browser using your webmail access. If for some reason you "think" you are certain that you know the password (which is the only setting that you can't sight verify) that Outlook is being successful with but you are actually using something different - then attempting to logon through your webmail access will show this up.
(2) Just changing the password to something new and updating Outlook to use the new password - see that Outlook's test is successful and then try the same in Adagio. Again if the problem is a bad username / password combination this will show that up.
(3) Turn off all Firewall Security and re-try. If no luck, turn off all FW and AV security and re-try.
(4) Try temporarily using a different account that is based on a different mail server - your IT guy can help with this

Still no luck, print and mail in an envelope that says "you've got email" wink

Check this registry setting change to make that annoying message go away. Worked for us.
