Is there a way to delete items in inventory if they have an old history? We have a number of items with "wrong" names but five years ago they were used for a few months. We would like to delet these items as we have created the proper ones. We keep getting error messages saying you can't delete with quantities on hand, on a sales order, or on a purchase order.

Hi Sammy,

In the version 8.1A and service pack in February 2009, if you delete an item you will be asked if you want to also delete the history. Versions older than this will not delete the item.

If an item still has quantities on hand, sales order or purchase order, it is correct to not allow deleting the item. If you in fact want to remove this item, you need to find the Sales/Purchase orders that contain this item and delete this item from every document found. As for Quantity on Hand, if you don't actually have stock on hand for that item, you need to either adjust the quantity to zero or transfer the quantity to the correct item code.

You may be able to use the 3rd party product Toolkit for Adagio to help clean up the Inventory data.

I've got a client that's attempting to delete inventory items and gets the same error message (can't delete with quantities on hand, s/o or p/o. Using item inquiry, those quantities show all zeros. Any guidance?

Have you run a Data Integrity Check? Can you look at the Inventory Items with GridView, or create a SmartFinder grid with the QTY and Cost information to see if there are any residual costs?

In IC quantity and costs are stored in buckets. They may net to zero but if each has something it it you will need to adjust them all (there are 5 per item number) to zero.

The toolkit makes this very easy as it removes the necessity of doing this task.

In addition to the above answers, there may be 'quantity shipped not costed' with a non-zero value. This would happen if the item was shipped in OrderEntry but Day End had not been run, or if a data integrity error occurred. Use the column editor on any items grid to confirm this.
