We just noticed today that we lost all alerts on all customers in AR. I assume it happened when we upgraded to AR 9.0A (090511). We have back ups of our data from before the data conversion. Can someone direct me how to get the Alerts from the old data into our current data?

Hi Susan,

I can't believe you lost all the alerts. Perhap they aren't turned on or selected to display when expected? The alert model changed extensively in AR 9.0 (alerts by function with the ability to enforce acknowledgement and turn off after display).

Hi Andrew,

I can't believe it either! We didn't notice for a month! Today I was investigating why some of our customers Invoices were not being processed correctly according to the alerts we had set up. It turns out the Alerts are not there. The only Alerts that are currently in AR are recent ones set up since the AR upgrade.

When I do an F6 search in AR using the field Alert? equal to 1, I get 107 results out of our database of 1868 customers. Of those 107 only a handful actually contain active alerts (all very recently added). The remaining have Active Alerts enabled with no contents.

Is there anyway to recover them??

In each case, all functions are checked, none require confirmation, none are disabled and contents are empty.

Hi Susan,

Could you e-mail me your AR database and a backup (any backup) from before the conversion?

Hi Andrew,

I opened my back up Aug 12/09 (the day before we upgraded to the new AR). I went through the new AR conversion process and the Alerts were there. Now I can't even guess how the alerts were lost?? Using the AR Alerts Messages table, I was able to produce a report with Gridview so I can manually enter these Alerts into our current data.

In the meantime I also opened several back ups from September and all are missing the alerts. I need to go back to the office to get my backup from Aug 13 to see if the alerts are there.

Do you still want my data? It's very large. I can send the AR only if you still want it.

Hi Susan,

you've already done what I would do - confirm that they weren't lost during the conversion. The only way to explain the disappearance is through some wired copying of files or perhaps a rebuild from a data integrity problem. Any ideas?

I found something.

On Sept 14, DataCare reported a File Error.

It said:
-------------------------------------------
Adagio Receivables: File Integrity

Control Accounts ... Checked OK
Adjustment Batch Detail ... Checked OK
Adjustment Batch Header ... Checked OK
Customer Alerts ... 1 error(s) found ........................................... FAILED

Summary

File Integrity ... 1 error(s) found ............................................ FAILED

Finshed at: 2009.09.14 18:34

Data Repair Phase

Rebuilding Customer Alerts ... Done

Finished rebuilding integrity errors.
Please repeat Data Integrity Check.

-------------------------------------------

I repeated the Data Integrity check the same night and everything was okay. I figured one alert might have been messed up, but never would have guessed all the alerts in AR would have been wiped out!

This was the first integrity check that we ran after our offices (including workstations and our SBS server) was moved to our temporary office in our back warehouse so our new offices could be built. Maybe a hardware glitch when reconnecting everything?

I just now unchecked DataCare Company Profile/Job Defaults where it says rebuild file and application integrity errors. If I leave these unchecked will it give me an opportunity to repair the errors manually instead of have it wipe out data?

We had further file errors on Sept 22 that said:

-------------------------------------------

Adagio OrderEntry: File Integrity
Sales Order Detail ... 2 error(s) found ........................................ FAILED

Summary

File Integrity ... 2 error(s) found ............................................ FAILED

Finshed at: 2009.09.22 18:33

Data Repair Phase

Rebuilding Sales Order Detail ... Done

Finished rebuilding integrity errors.

-------------------------------------------

Can I look for somewhere for data that might have been lost there??

Hi Susan,

The records affected by the DIC are logged in the file xxINTERR.dat. We would never recommend having the rebuild option checked for your nightly backup.

I'm sorry for the work this will cause. If you have that backup (before the repair) then we might be able to get the alerts back for you.

Hi Andrew,

We can manually add back the alerts and at the same time check each of these customers accounts since Sept 14th to see if any invoices were done incorrectly as a result of not having the alerts. Some extra work yes, but we're covered now that I can get a report of the alerts on Sept 13.

ARINTERR.dat and OEINTERR.dat are empty in my current and back up data. Is there a way to see exactly what DIC has done in these "rebuildings"? I'm particularly concerned now about Sept 22 Rebuilding of OE's Sales Order Detail. How can I find out what DataCare did?

The logs are cleared by every run of the integrity check. You will only be able to find our if you made a backup after the DiC on those days and still have it around.

The DIC can only add or delete info and "orders" don't have an accounting impact. Surely your customers would have mentioned a short-ship?

We lost all of our Customer Alerts again! Thankfully I knew to look to see if they were wiped out this time when DataCare reported errors. Sure enought, the Alerts are gone. I'll import from yesterdays back up since todays data had some problem with the alerts.

Also, we're still dealing with the same problem that DataCare Automatically rebuilds our data when it is run from a Scheduled Task even though we've set it up not to do so.

Oh just realized.. I guess we can't import Customer Alerts. We'll have to print a report and add each manually again. :-(

This may not solve the issue with DataCare automatically rebuilding, but I suggest downloading the most recent System Updater and get the current database interface. It may be that the rebuild to the Alert file didn't wipe out the records but instead did not set the correct file ownership.

What is the current file version of your \softrak\system\ADS32.DLL file?

If you have a backup of your data before the Rebuild I am sure we could get back your Customer Alerts.
Put the data at:
www.softrak.com/dbr
and Email me.
If you decide to go this route do not add any new Alerts

I ran the system updater but still no alerts. The system updater pdf says:

"If you converted your data before installing the updater, and even if you have not encountered the any of the above errors, you
should also adjust the permissions on your data folder to avoid possible future problems. If you install the updater before converting your data you do not need to adjust permissions."

What data conversion is this referring to?

Payables 81B. But in reality refers to any process that creates index files, which could include rebuilding integrity errors.

Running the system updater would not fix the problem, but potentially prevent the problem from happening again.

Okay, well I followed the instructions to adjust the permissions as the updater pdf said to.

However this part is still puzzling me:

Interestingly, when I run a Gridview report on my live data with the "AR Customer Alert Messages", the alerts are there. Many are there twice. Maybe they are there twice because of the last time we re-entered them all? If the alerts are there in Gridview, why can't I see them in AR?

Hi Michael,

Thanks for the offer to help.. it sounds like a good idea except that we cannot go without our system today while we wait for yesterdays data to be repaired. We have to keep going.

I will look for a reply today to my last question about why the Alerts are still appearing in Gridview "AR Customer Alert Messages" while they are missing from AR.

Hi Susan,

Could you send us the AR data please? We can probably get the alerts back and send them to you. You'll just have to add back any new alerts from today.
