I went into customers and was looking at the YTD stats. I recently found this information to be wrong. when i went to OE and exported the invoices and credit notes to excel i found out that the numbers reported in the stats didn't match what was actually done in invoicing.

WHY are the stats wrong? And how can i fix this?

The YTD statistics are not date-sensitive. They just keep on accumulating until someone runs Year-end processing. The only way they will agree with the underlying detail is if Year-end processing was run at exactly the right moment - after all of the invoicing was done for the prior year and all of the cash receipts were entered for the prior year.

So if the YTD statistics don't agree with the details in OE or in AR, then it's because the timing of the Year-end processing step was not exact. It's why I don't put a lot of faith in those statistics.

They can be modified. It's a bit of work, but you can create a spreadsheet in Excel with the correct figures and then import them. There are more statistics fields than you may realize, however. I use an Adagio module called Adagio Gridview Read/Write to change the figures for my clients, and it's quite easy, but that is not a module you are likely to own or even know about.

Steve, actually I do have gridview. How do i get the proper stats out and into excel?

You can just edit the customer statistics if you'd like to change the numbers. You can also import them from Excel.

Use GridView to build the Excel spreadsheet necessary by calculating the figures you want from your OrderEntry history. The formula will be something like:

IF(AND({Invoice date} >= {BeginDate},{Invoice date} <= {EndDate}),{Amount},0)

for each column in the statistics you want to correct. Make {BeginDate} and {EndDate} calculate columns containing the ranges of dates you want included in the numbers.

The Toolkit for Adagio's next release has an option that will recalculate these numbers from the historical figures in Adagio Receivables. This might be an easier approach.
