When entering an order in order entry and the credit limit has been exceeded, a Credit Check dialog box appears requesting an approval.

What is the purpose of this dialog box? It appears that anyone is able to approve this dialog box to continue processing the order?

Hello Suresh

This is a warning which the User can utilize to make a decision on what to do next, and is based on the Customers' credit limit in AR.

If the AR Co. Prof option 'Prompt if over credit limit?' is checked, then OE will give a warning if the Order just entered will put this Customer over the limit, based on their outstanding, or current AR balance.

(Of course, this calculation does not take into account any unposted invoices/credit notes in OE.)

Hi there,

Very useful feature if it was taken one step further and permitted only a certain group or user to enter their credentials in order to process the order to completion - perhaps the Sales entry staff could continue entering the data but at the end, before it can be processed, it must be authorised by a user who has authority to allow over the limit orders.

Just a thought...

Hi Suresh,

This functionality that you suggested is already on our suggestion list for Adagio Order Entry. In the interest of having the program ship at an appropriate time, we decided to delay this feature for a future release. Accpac Order Entry works in the same way, except Adagio defaults the users initials into the Approval field rather than defaulting to Blank.

The suggestion is to set this up as a Security option, where a checkbox could be defined for the Group allowing Approval of invoices for over-limit customers.

The problem is that if the entry person does not have rights to post the order, you cannot save the order anyway and have someone else post it. OE documents must be posted immediately or else nothing is saved.

Hi there,

Is it a significant issue to add a Pending Order table that allows the Order Entry clerk to continue entering the data, but if it goes over limit, the entry is temporarily saved in this separate table.

When an authorised user enters the system, he is warned of "Over Limit" orders requiring authorisation, reviews and posts back to the main database.

I suppose you have then got to take into consideration that a) manager requires further information; and b) action on orders rejected.

In the User or Group Setup section, one could not only define who can post, but also include email addresses to auto-shoot reminders?

In a paper type environment, the Order Entry clerk can print out Orders requiring special approval, send to manager for signature and he can both manually authorise on paper, and go onto the computer and select those orders he approves.

Wishful thinking perhaps... :-)

Hi Suresh,

Your suggestions are good ones, especially since in a 'real world' office, not everyone will be able to authorize every transaction.

Perhaps in a future release, we will be able to allow 'Pending' orders. However, that would likely break compatibility with Accpac Plus OE, and that is an important feature at this stage of Adagio's development. As it evolves, Adagio will certainly aquire greater functionality and we'll be able to look at 'wishful thinking' such as these!
