The bank rec reports were never printed when the reconciliations were done for the last few months. These reports were used to match the bank balance in Bank Rec to the bank balance in GL and also to review outstanding items. I have tried to run the reconciliation report for a prior period but the system will only return the balance as of the last reconciled date (which was Jan 2009). The bank balance per bank rec does not match the bank balance per GL and I am trying to determine how far back this problem goes. The last printed report I have is for July which indicates the two were balanced at that time. What is the best way for me to obtain and compare the Bank Rec balance to the GL for each month since July as I cannot print the reconciliation reports for periods prior to Jan 2009.
Related to this, how can I print a complete transaction listing of everything posted through Bank Rec? The report options only seem to give me cleared historical items or outstanding items as of the last reconciled date (Jan09). if I need to do a detailed reconciliation of bank rec data to GL data, which is looking probable, am I best off running a historical report to Jan 31/09 and adding to it the outstanding items as of that date to try to recreate the entire list of data that has been entered since we started using Bank Rec (March 08)?
Any help would be VERY much appreciated.

To recover the reconciliation reports, you might unzip backups of BR (or the BR data from larger backups) to folders marked with their respective dates.
When you open this data in BR it will turn off the interfaces to Ledger, Payables, and REceivables, which is fine.
Assuming you have regular backups, you can do find one to get a balance for each reconciled date. If you use backups made just before each clearing to history was done, you may find the error readily.

Hi Tanja,
If you hve GridView at your disposal, there is also a file maintained in BankRec that stores the statement dates and the reconciliation amount that balanced as at that date. Would that help you?

Hi Andrew, Unfortunately we don't have GridView. Is there any other way to get this information? I can try going through our backups but I'm not sure how I would know what dates to look at as we haven't been doing our bank recs on any regular schedule. I do have the reconciliation posting journals but they don't seem to be of much use for what I am trying to do. I have been able to determine that some cheques were voided back to prior periods after the reconciliations were completed and have been able to "rebalance" (manually) the bank rec to Aug 31 (and match to GL), but this same logic didn't work for any of the months going forward. I think this is because I don't have the report balance for Sept on so I have tried to calculate it taking the Aug balance and adding/subtracting net cleared transactions in next period, but what I need is net transactions POSTED for each period. Is it possible to calculate this? I have tried to do so using a combination of the bank transaction and bank historical transaction reports, but this still doesn't seem to give me the total posted transactions for a month. I have attached a file so you can see my logic, but without knowing either the report balances at each period end or the total of posted (not just cleared) transactions for each period, I don't see how I can recalculate the balance.

Hi Tanja,
I've created a GridView workspace that may help you answer the question. Download the attached ZIP and extract all the files into the \SOFTRAK\BRWIN directory (it will create a subdirectory "Views" with some files in it). Download and install the evaluation version of GridView.
Launch BankRec. It should ask if you want to update the Inquiries menu with the new views. You'll now find an entry "ReconHistory" on this inquiry. Launch the Workspace and GridView will open and show you a list of banks, the reconciliation dates and statement balances. Edit the "Fiscal Year" filter on the "Recon History" View and specify the start of your fiscal year in the date function (it defaults to December 1, 2008).
Now, click on a bank in the list of banks. You will be shown all the reconciliations done fo that bank. Then, in the ReconHistory pane, click on the "Link" column. The BRtransactions View will show all the transactions that were cleared for that reconciliation.
You may need the assistance of your Adagio consultant to help with this (it will be worth it in the hours saved). Hopefully, this will go a long way to getting the reports you need.
We are looking at improving the historical reporting for later improvements in BankRec.

Hi Andrew,
I have been able to install Gridview and have extracted the files that you provided and now have a list of my statement balances for each month - thank you very much.
Is it possible to get the CASH balance for each of those months as well (or the REPORT balance from the bank rec report)? That is the number that should ultimately tie back to the GL at each month end, being the bank statement balance +/-cleared items in that month +/- outstanding items for that month.
With the full version of Gridview can we create our own queries or does all of that have to be done through our consultant or through the support desk?

Sorry, BankRec does not store the cash balance "as at" a reconciliation date. It only knows the current cash balance.
Yes, GridView allows you to create your own queries. You can also place these on people's Windows desktops and launch them without having Adagio running or installed. I placed this workspace on the Inquiries menu for simplicity.
If you browse through the forum, you'll see some enthusiastic endorsements for the reporting GridView makes possible.
