Crop year production - Does anyone have experience with Adagio and farm accounting. Crop year production is required for tracking income and expenses based on each crop year? Could this be done with departments or are their other options that would work better?

Are the tax laws based on the crop year in the desired location or they based on calendar years? Maybe a better question would be 'What is the purpose of this reporting...government require or farmer information?'

They need a Profit & Loss Statement based on each crop harvested off of a specific field (ie potato crop.)This may cover more than one fiscal year or calendar year.

Have you considered Adagio JobCost? It's often a reasonable solution for tracking revenue and expense outside the fiscal calender.

Hi Eva

The answer really depends on what modules you are using. If it's simply AP/AR/GL, then the answer is to set up new GL accounts every year (e.g. 40001 would be sales in year 2001, 40002 sales in 2002, etc - you can repeat every ten years).

If you are using OrderEntry or Invoices for billing, then the answer isn't so straightforward. If it's Invoices, then JobCost is a reasonable solution, as Andrew suggests. If it's OrderEntry, then I'd have to think further.

In any case, I don't think departments is a good way to go.

Why do you not setup departments for each field or crop. You can close off a department at a time. You could also make the department code CCCCYY where CCCC is the crop code and YY is the year.

Hi Eva,

I believe that using departments could be a reasonable alternative if obtaining 12 month (fiscal year) financial statements is your primary goal. By using a 12 month trend report (and hiding when printing the individual months) you could have a total one year financial statement that changed based on the period selected in the financial reporter. Thus if you wanted the financial results for the 12 months ending Oct 31, 2008, and the data set has a calender year end, simply open the desired report, and select period 10 as your reporting date. With the proper specs, the report will load the months from November 07 to October 08.

I have done similar reports for clients that were interested in the individual 12 month results, but see no reason off hand why a total of this report would not meet your clients needs.

Hi Eva: If you create departments for each type of crop, you can use the Rolling reports to create financial statements for each crop. I have done this in similar situations where the departments are used for mining claims, and the rolling statement of expenses gives the development costs for any period regardless of the fiscal period. Eg, company has a year end of Sept 30 but a statement of costs is required for the government based on calendar year.
