Hello all,

I have a situation where a client has rolled their year over in 9.0, but has had to go back and post to prior year to fix a few things. However the issue is that, it does not adjust the closing entries in some accounts to retained earnings, and also in a few cases it is showing up as a debit, when it should have been a credit to try to close the account.

If anybody has any ideas that would be greatly appreciated.

Hello DC,

Only Income Statement accounts "I"accounts are closed to retained earnings when prior year postings are done. What type of accounts were posted to? Remember, posting to the prior year automatically generates the necessary closing entries and adjusts the opening balances for the new year.

The problem does seem to lie within the Income statement accounts, a few of the high importance Revenue accounts to be exact.

The Revenue accounts were in other words the accounts that were posted to.

Hello DC,

Please check the account type and make sure the account is marked as an Income account. The account number does not guarantee the correct account type designation.

I have double checked the accounts, and all that should be are marked correctly as income statement accounts. Is there anything else you would recommend to check??

The posting journal for the batch posted to the prior year?

Andrew,

The posting journal was checked, looks ok. To update this matter it seems as every account which has a posting to prior year is not picking up that amount even though it shows up on the detail listing and the posting journal. The Trial Balance and other reports are all out though. As well accounts which were balanced correctly before the year was rolled over and haven't been posted to by the prior year function remain correct.

Any suggestions would be greatly appreciated.

Hi, DC,

Something in the setup must not be right. We haven't run into anything where this 'just happens'. Posting to prior year works well in GL9.

The problem of determining what isn't right is difficult sight unseen however. You'll need to get a copy of their data and investigate this more deeply.

It could be useful to get a copy of the pre-converted to GL9 data and check integrity, accounts and balances. Then convert the data to GL9 and do a small posting to prior year and track what happens.

I took the advice and recovered an 8.1 dataset, rolled the year over and then converted to 9.0. After that I created a small batch and posted to prior year. Now it seems to accept the batch just fine and shows up on the financials. This is a good sign, but a heck of a lot of work has been done since that time. What could be the best case scenario for us and what can we derive from this??
