I installed Ledger Service Pack 20080307 a month ago without any problems. We had our fiscal year end March 31, 2008. We have both the current year and next year open in GL at the moment. A couple days ago, I installed Ledger Service Pack 20080402 with great difficulty. It froze during install a few times and I had to end task to get out of it. I realized there were outstanding batches to retrieve and so we retrieved those and tried to install Service Pack 20080402 again. It froze again until eventually I left it alone and after a delay, it finally installed all the way through.
Everything looked good in Ledger and was working well. We imported a Paymate Payroll batch for April and it imported into the current year instead of next year. We figured out how to "copy" and "move" the batch to "next year". Then went back to the current year and deleted the empty batch.
At Day End, we were unable to complete posting and printing the batches in GL. It said there were GL files open. When we looked on our server it showed 10 open GL files on a user that user was not currently using Adagio. Maybe the "end task" from the Ledger Service Pack install caused the files to remain open. We killed the open files session and then ran DataCare and it got these errors:
Adagio Ledger: Application Integrity
Checking Next Year Account Balances ...
Account [ 1300 - ] out of balance is 111,111.57 calculated is 222,222.93.
Account [ 2015 - ] out of balance is -11,111.39 calculated is -22,222.21.
Account [ 2140 - ] out of balance is 11,185.36 calculated is 22,752.82.
Next Year Account Balances ... 3 error(s) found
(NOTE - I changed the numbers above for confidentiality sake on the forum, but the issue is that the numbers do not match.)
Rebuild gives these errors:
Data Repair Phase
Data requires EXPERT. Call Softrak Systems for Data Repair Service.
Data requires EXPERT. Call Softrak Systems for Data Repair Service.
Data requires EXPERT. Call Softrak Systems for Data Repair Service.
Fixed 0 of 3 application integrity errors.
Finished at: 2008.04.18 18:01:46
When we try to open Ledger now it gives this error:
Error: Incomplete posting. Only Data Integrity check will be available.
I tried reinstalling the service pack and reinstalling ledger but there is no change. Can anyone help me figure out how to solve this problem and how to avoid it in the future?
Thanks,

Susan:
It appears that Posting failed, possibly due to the open files from the aborted earlier installation. That will nearly always cause damaged data. Was there an error message during posting?
1) Under those circumstances, there are 2 basic choices: i) restore from backup or ii) have Softrak repair your data. Since there is no cost to choice i) (apart from the time to redo your work), I would start by restoring from your previous backup.
You should: -Copy & Paste the current GL data files to another folder (as a precaution) -Delete the current GL*.XYZ files (where XYZ is your company file extension) -Restore GL*.XYZ from your backup -Immediately run a Data Integrity Check in GL
Assuming there are no errors: -Immediately use File->Backup to make a copy of your GL data -Re-import the Payroll batch -Re-enter other batches -If you retrieved subledger batches, you will have to manually enter them as a GL batch (or restore subledgers too) -Run a File->Backup process before each posting
Did the Ledger re-installation proceed smoothly?
2) Importing: When importing, look on the 3rd tab of the template called "Field Defaults". Select the "Hdr-Fiscal Year" choice and enter the new Fiscal year at the bottom. Then import the payroll data.

Hi Susan,
I'm pretty certain from your description that the Service Pack didn't install properly. Unfortunately, you Ledger program files are now in an unknown state. The most direct way to proceed, if you have easy access to your installation codes, is to uninstall Ledger 9.0A, and then completely re-install it and its Service Pack. Sorry.
If you e-mail me a backup of your damaged data, we'll take a look on Monday and see whether it can easily be stitched back together.

To make sure I am understanding this correctly, all of my GL files in my Data folder are named GL*.DAT. There are 93 in total. I am going to move these to a temporary folder and then copy all the GL*.DAT files from my back up to the Data folder. I have a back up that was made immediately before the GL posting that crashed so I will try that one first. Maybe the posting will go through now that there aren't any GL files accidentally left open. I will keep you all posted (no pun intended) and really appreciate the support. I've never restored from a back up however I am assuming that since it is only GL*.DAT files that I'm replacing that I won't lose any other data from the other modules.
Andrew.. I will do the uninstall and reinstall while I'm at it. I assume I can install Ledger, then jump right to installing the latest service pack? In other words, I don't have to install each service pack that came before the latest one?

Something else that's happening that might be related to this, or not, is whenever we're running Data Integrity Checks the UPS on the SBS Server sends these email warning messages, sometimes 10 times while the Integrity Check is running: "PowerChute Business Edition has detected the following event: Communication Lost on Agent server". I just noticed today that during the integrity check, the server is barely functiong. The mouse and keyboard are hardly functionable - not responding properly. As soon as the integrity check is done, everything returns to normal function.
If however, we run the Data Integrity Check from the server it is about 10 times faster and doesn't create functionality problems and causes no errors from the UPS.

Hi Susan,
You are right about the file names and have the concept clear. Move you GL*.dat files to another directory, restore the GL*.DAT files from your backup and run an integrity check.
But get you Ledger to a known state before doing the integrity check and trying the posting run again. Use the Windows "Uninstall program" in the control panel to remove Ledger V9.0A and then install your original copy. You then need to install the most recent Service Pack only, no need to install all the intermediate ones. It will make your Ledger programs current.
Oh yes, install the Ledger and Service pack from a workstation, not from the server. Installing on the server sometimes causes the wrong dates and times to be recorded on the Adagio files, and then Service Packs and Upgrades don't install properly. (See the post from Kate Spontak about Sales Analysis.)
My guess is that the data integrity checks and posting processes keep your server so busy that it is not servicing the UPS communication program as frequently as it requires (making the UPS think that the program has stopped running). I'll say it again, there is a significant risk to running application software on your file server. Better to spend a couple of hundred dollars on another machine to let the server perform its true role.

I uninstalled Ledger completely and reinstalled it from the CD and YES, I am working from a Workstation. I just installed the latest service pack which again froze for a period and the server responded in the same way that it did during Integrity Checks from a Workstation - mouse and keyboard weren't responding, lan light on the back of the server flashes furiously, messages from the UPS. We do have Adagio installed on the Server - however, I am doing the software installs, service pack updates, etc. from the Workstation where the Software was installed initially - not from the server.
Same errors in GL so I am trying to restore a back up now.
Yes, we are looking at moving the server and adding another workstation in the near future.

The first attempt to restore back up data says, "The 'account master' file was not found. Incomplete data set, unable to start program.
The back up that was created before day end yesterday was a "complete data set" back up but only created 79 GL*.DAT files. I had 93 before.
I guess I'll try the back up from the day before.

Re: "Froze for a period..." But then it completed properly, right? Sounds like your anti-virus checker might be getting in the way, especially since you say the LAN light was blinking furiously (sometimes the computers just get busy and appear unresponsive - patience is a virtue). When Adagio creates a backup, it will report any files it was unable to place in the ZIP. Sounds like someone was in the Ledger, when your most recent backup was made, so the account master file did not get backed up (it was open on another station). Unless you are desparate to have your financial statements on Monday, why not send us a backup of the damaged data to see if it can be easily repaired. That way you could enjoy the sunny and warm weather you're having while we gaze out on 2 inches of snow blanketing the tulips!

The service pack install completed properly. The data back up from 2 nights ago is good data. Problem is, there are no batches to retrieve and I'm missing 2 days worth of batches from the other modules. IS THERE A WAY TO RETRIEVE THE LAST 2 DAYS OF BATCHES AGAIN?
I suppose we could manually enter all the GL entries using the GL_Batches.doc or GL_Posting_Journal.doc? By the way, in AccPac we could APPEND these files everyday at day end but in Adagio we cannot so we have been overwriting each time instead.
Yes, I would rather be outdoors.. the weather is great here. I saw the snow out your way on the news.. ha ha. That is crazy.. but I'd still trade it in for a system that works.
I have a back that was done after day end Thursday that might be good. That would mean manually enterring all the GL entries from the GL_Batches.doc for Friday.
I'll email you my data if you think that is an easier way to go. Do you just want the GL*.DAT I assume? Are you saying we can still work using the other modules while the GL data is under repair?
Please let me know if there is a way to retrieve the batches again.
