The option in systems options in the company profile that states to allow inventory levels to go below 0 is off in a company profile, so what would make an item quantity still go below zero?

Hi Andrew, the versions are:
IC – 8.1e (8.1.5.26)
OE – 8.1f (8.1.7.5)

I checked the release notes for the new versions but it made no mention of the issue. However I have asked them to do the upgrades over the weekend, but I still would need an explanation as to why this occurred

Thanks.

The only way to answer this question is to reconcile the transaction history for the impacted items. What comes to mind is the quantity on hand wrong in the first place and then a return to vendors resulting in a negative quantity on hand. I don't think the 'Allow below zero' would prevent you from posting a return in PO even if that means the quantity on hand becomes negative.

Doug is correct. A negative Quick Receipt will push the on hand quantity negative, hence the question about PO. This has been written up for R&D, but I'm not sure there's anything we can do about it.

Andrew:

If in fact the negative quantity on hand was the result of a return to vendor, please don't do anything about it. I can just imaging the irate call now "What do you mean the software will not allow me to post this return of stock! I already returned the items!!".

Kind of like the same reason we don't recommend using this feature in the first place. "What do you mean the software won't let you sell me these items! They here in my hand. I want to buy them!. For which all you can do is try to explain that the computer will not let you sell them as it says you have none in stock.":)

Errors in inventory should be investigated but the fact that the software says you have none when in fact you have them in hand shouldn't prevent you from posting the required transaction.

Hi Doug,

That's my feeling too.

However, we could pop a warning when the negative receipt is about to be posted, and report the item in the DIC (which we might already).

I received a backup of the data and will look at it now, however I did not get a PO backup, Will look at that as well.

Will let you know my findings

Thanks

This shows that the client was using their Order Entry module and the option was deselected in the company profile to allow quantity to go below zero and a staff was able to still ship items even though the quantity was at zero and at times not enough to accommodate the ship amount.

I tried this on my stand alone laptop but the message to notify me that the stock was not enough came up and I was not able to move past it unless I changed the quantity or item all together.

Not sure why it happened for the client.
