I am looking to do GL transaction listing that allows me to download to excel information that runs through the GL. I would like to see document references and customer/vendor references (check #, Invoice #, Journal Entry reference, Customer/Vendor name) in a field as opposed to the batch ID. Is there a way to get this information that has posted to the general ledger without having to run several reports and try to tie them together manually?

This can be done, but only after it is setup properly to begin with.
In you case, this is controlled from the AR & AP Company Profile setup.
You will want to set the values in the Integration tab to send the data that you want captured in the Reference & Description GL fields.

As we suggest often on this forum, you should consider having your Adagio consultant help you to set this with you.

Hi Lori,

In addition to customizing information that goes to the Ledger Reference and Description fields from the other various Adagio programs, as Samuel indicated, there is other information that is automatically being included with the sub-ledger batches being retrieved into GL. This includes the Customer or Vendor number, Document number, and sub-ledger batch, entry and posting sequence number.

A great tool for extracting information from Adagio to Excel is Adagio GridView. You can create and save data layouts to read and export data, and also link to other tables - such as getting the customer or vendor name. Much or all of that 'manual stitching' can be done in GridView and then exported when you need it.

What are the specific columns you are looking for on your report, and how would you want to identify which transactions to include?

I am looking to have items identified as follows:

If it is an AR transactions to show that it came from the AR module and would include the Customer number, Name, Reference of invoice Number/Credit note etc..., also include any field that allows a comment, amount posted to the GL and transactions date.

I also would need this to be the same for the AP side.

For doing data analysis and reporting it is much easier to have this information in excel and build the reports from there.

Hi Lori,

The fields you need, except for the customer name, are in the GL transaction file. This information can be dropped into Excel by using drilling down to the transactions from a financial statement and clicking the ExcelDirect button on the drill-down display.

You can use a VLOOKUP() into another sheet to pick up the customer or vendor name.

If you are regularly doing some specific analysis on these transactions, then you should consider adding GridView to your Adagio module mix. It can get at all of this information easily and filter, sort and summarize it to your heart's content.

There are several videos on our web site that describe GridView and the ad-hoc reporting options in the General Ledger (check out Source Journals). You might also want to engage your Adagio Consultant to give you a running start on this project.
