No. 1 Issue
In error I deleted invoice batch postings under A/R Reports tab then General Reports and Batch Status. Will this create any problems? Will I have to restore from a previous backup? Please let me know.

No. 2 Issue
I'm trying to edit the control acct in A/R and it gives me a Warning ! Changes cannot be saved until you print and clear all posting journals, but there are no posting journals to clear or print. This is what I was trying to correct when the above happened. Please help!

Thanks

Hi Heather,

1) Purging the AR Batch Status report will only cause problems if there was information there that you wanted to keep track of.

2) There are 3 types of posting journals in AR (invoices, cash and adjustments), and 2 more (period end clearing and revaluation) if you use multicurrency. If you print (to file)and purge all of these and you still get a message that posting journals exist, then something is out of synch with your data. Either a posting journal data file has non-zero bytes, or the program is expecting to see a posting journal sequence and that is missing from the data.

If this is the case, then you should be in contact with your Adagio consultant to determine the best course of action.

2) There is one invoice batch posting journal that has nothing in it because a manual invoice batch was opened in error. So by the sounds of it this is creating an error. So do I need to consult with our IT company to correct this?

Hi Heather,

Having an open batch does not give the warning when wanting the edit Control Account Sets, only an unpurged posting journal. If there is information on an error posting journal - which is what I believe you are indicating - then I think this also prevents editing. Though the error posting journal should be cleared along with the regular one.

When attempting to print any of the three types of posting journals, do you immediately get a message that there is nothing to print? Or are you presented with a range of posting journal sequences and when you click print, you are given the message that there is nothing to print? The course of action depends on this answer - either deleting data files, or posting a small (or zero) batch and then reprinting and repurging the posting journal.

By the way, this restriction for printing and purging the posting journals before allowing you to edit Control Account Sets has been lifted in the most recent release of Adagio Receivables 9.0A. This wouldn't necessarily be a reason for installing the upgrade, but something to consider.

I am given a range of posting journals to print and it starts with the invoice batch that was posted with zero items in it. Then when I click print it says there are no posting journals to print. All other posting journals (cash and adjustments)are complete, it is only the Invoice posting journal that is a problem. We do have the new A/R but we are waiting to install on the advice of our IT service

Understood. Installing an upgrade should be done on your proper timing.

So what has likely happened is that the posting journal data file was removed outside of using Adagio (ie manually deleted, not written to during a post, restored from a data backup, etc).

The solution is to create and post a new invoice batch - it could be for $0.00, just as long as something posts successfully. If you have 'auto print posting journals' enabled, do not print the invoice posting journal at this time.

Instead open the Invoice Posting journal screen and you should now see a larger range of posting sequences, from the one you are having a problem with, to the one that you just posted. Keep that entire range and print to file and purge. This should reset the system to what the expected range of available posting sequences is, namely nothing.

I'm sorry if I don't explain myself fully, but I thank you for your time and I will try your suggestion. If it does not work I will be back.

Thanks
