We have a strange situation where an order was made up and a pick slip generated and posted. When the order was filled an invoice was made and posted. After we ran end of day I noticed the invoice was not on the customers account. It does not show up on the end of day and is nowhere in the system that I can find. There was no credit note done to cancell this invoice.
But I have the printed copy of the invoice. The order shows up in the customers file as being filled. Does anyone have any suggestions as to what could have happened? I have checked the dates on the invoices and they are correct, 02/10/2009.

Hi Gail

My suspicion is that someone entered the order/invoice in the wrong data, such as in a backup of the data, instead of in the live data.

Is that possible?

I have seen something like this happen because a network interface card or connection was bad. The workstation was able to enter and post, followed immediately by printing, but the invoice was not written to the network files and later could not be found. In that case it was not in the day end and not in the Customer transactions.

Make sure opportunistic locking is off. You can use chksys.exe in the Softrak\system folder to verify this.

Are all users using the same program on the network drive? Having more than one set of program files could allow one workstation to overwrite the changes of another one because file locking is not able to work properly.

Hi Gail,

The same thing happened to us a few months ago. We lost around 8 invoices that were printed (some were even paid for) and filed. It turns out that they were entered (and printed) from a different data set. What happened is I opened a back up data set on I:\Data\Backup to look at the data and then exited. Then the next person (and the next) who opened OE defaulted (without realizing it) to the back up data set on I:\Data\Backup that I had just accessed instead of the proper data set on I:\Data. Before we knew it everyone was entering invoices onto our Back Up data set. At some point everyone switched back to I:\Data and we never realized the invoices that were missing until a month or 2 later when receivables caught the problem.

I have since removed all back up data sets from the server so that this can never accidentally happen again. I also added the path to the Dataset into the shortcuts on each users computer so they cannot accidentally end up somewhere other than I:\Data.

If you have another data set somewhere check to see if you find your missing invoices there.

I realize Steve already suggested this and you said that it was not possible, but thought I would mention our experience anyways because you situation sounds the same.

Also, does your data pass integrity checks?

Hi Susan,

You'll be please to know that when we finally start shipping Adagio Receivables V9.0A and all its associated upgrades, that this problem will be a thing of the past as we have move the most recently accessed and previously accessed list of datasets to be stored by user (instead of globally).

I really hope that you'll start to see these releases appear very soon. We are running them in-house.

If you look at the order does it show as having been invoiced or not?
