How would you track maintenance on inventory items? In their current system they can do adjustments to the inventory item and pull up a report for the value when purchased including any repair done on this item at a later date.

Hi Eva,

You can track all adjustments (or any transaction types) against an item in Adagio Inventory, either through the Transaction History report or inquiry. This includes the reference, date and amounts, among other information. Would this be appropriate to your client's needs?

Thanks for your replies. This is a client who buys used trucks for resale. They do any maintenance required to the truck either in their shop or by a subcontractor then they resell it. Can they from the payables module allocate an adjustment to that truck item and show the history of the item later. Since they have up to 50 trucks in stock at one time and they could be sitting on the yard for a year or more what is the appropriate method to track these improvements?

Hi Eva

I have a client in the truck repair business (they don't sell them though). They use PACCAR as their truck maintenance software, including billing. It is integrated with Adagio AP, AR and GL. It works nicely.

I wouldn't recommend Adagio in order to track maintenance. This is one of those cases where industry-specific software is a better fit.

This client has a product they use for doing repairs on trucks. They use Simply Accounting for the accounting & truck inventory repair on these items. It does not integrate with Simply, however, it does integrate with QuickBooks. The biggest reason why I am looking into Adagio is for departmental reporting purposes.

Hi.
I tested Adagio inventory adjustments in the same manner Simply is currently tracking this detail
1. We can have one GL Inventory account to track 40 trucks currently sitting in inventory
2. Whenever they do an improvement or repair they will do an inventory adjust to cost and select the inventory GL Account as cost and you can do a item transaction report (they may have to do a second adjustment to make sure the GL keeps the correct balance.)
I don't see any reason why this wouldn't be workable.
Any suggestions why it wouldn't?

There's a difference between theory and practice. In theory, the inventory account always reconciles to the IC Item Valuation report. In practice that GL account is the hardest account to reconcile. Your approach, posting extraneous entries to that account, almost guarantees that it will be impossible to reconcile.

If you can live with that, and you can live with the idea of having to make TWO adjustments for every improvement, then your idea will work.

My question is - why do you need to use the GL to track this information, why not just do it straight in inventory?

If I understand you correctly, you are suggesting use the same GL account for both Inventory Control and Adjustment/WriteOff.

As Steve says, control accounts are always easier to reconcile if you never post to them except as control accounts. You would do better to use an expense account for the adjustment account. The other side of the transaction will automatically post to inventory control.

In GridView you can pull the transactions for the item and see all the adjustments as well as receipts and sales.

Thanks Kate. This makes sense. In that case they could then use an income account to show income for repair completed on the other side of entry.
