We would like to be able to block the costs of items in inventory so when certain people are in order entry they do not have access to this information but can still access the items.
Is this a possibility?
Also can you clarify what the category for an item is actually suppose to be used for?

Hello Gail,

You can prevent users from displaying the costs of an item by using File | Users to remove their ability to customize the Grid, and by preventing them from accessing the menu choice that displays the costs using the Group Security feature in Adagio.

Categories are used to provide default pricing rules when an item is added and a set of g/l accounts to be affected when the item is sold.

Hi Gail,

In the Order Entry security setup (from the File menu and Group Setup), you can specify whether the user can see the item cost when entering an order, or whether it is hidden. This option can be found on the 'Order Template' tab and is called 'Display cost information on orders'. I assume you wish to disable this option for some users.

If you want to show item costs for some users, you can select which cost is displayed here, from the available list.

Item Categories are used to group items for reporting purposes, or for updating (ie increase the price for all items in a category). Categories are also used for determining commissions (ie is an item belonging to this category commissionable?) and the GL accounts used for Revenue and Cost of Goods. There are many important things to setup with Categories, that flow through to Order Entry.

This is good but I was thinking of when you just go into the items icon in Order Entry and find an item and display it, can you block the cost from showing here? Sometimes we go thru this list with our customers beside us and we do not want them seeing the costs. If this is not possible is there another way of viewing the items without displaying cost?

Hi Gail,

Item Inquiry has 2 different menu choices. One includes cost information and the other does not. You can use Group Security to disallow 'View Items with Sales/Costs' and give View access to items for a user but suppress the costs.

You currently cannot allow access to Edit IC Items and disallow viewing the Cost amounts. There is no 'field-specific' security where you can grant access to a function but hide particular information.

Hi Gail,

How about creating a customized View of the Item list using GridView and using that to display the infomation when you are working with a customer at your elbow? You can attach Views to the Inquiries menu in Adagio Inventory by copying them to the \softrak\icwin\views directory (using "Save Workspace as..." in GridView is the easiest way of doing this). Or, disallow viewing csts for most users who wouldinteract with customers in this way. Or, tell them not to click on the Costs tab when a customer is watching!
