Client has a text document of specifications to be copied into the order as comment lines. We formatted the document so each line is only as long as a comment line.
What is the fastest way to add these multiple comment lines?
The next line will open but it always opens as an item line.
Is there a way to get the next line to open as the same type of line?
Is there a way, staying on the keyboard, to change the line from item line to comment line?

It would be really nice to be able to link an external document to an order - a proposal, specifications, or legal document - and then print, fax or email it as part of the invoice.

Hi Kate,

The next line always opens as an Item in OE but you can quickly change from an item to a comment using the keyboard only:

When the new line pops up hit "SHIFT + TAB" then "C" (or "M" for misc charge, "S" for serial numbers or "I" to rotate between items and instructions).

I would think that copying and pasting your comments is the quickest way inside of OE, though I may stand to be corrected?

In Purchase Orders for Adagio, frequently used comments can be added to a table and assigned a "comment code". Then, to add one of these comments to a PO or a receipt you would just have to type "#xxxx" (where xxxx is the comment code) into the comment box. When you TAB out of the text input box POA will automatically convert the code into the actual comment. I wouldn't be opposed to seeing something similar added to OE in the future.

Hi Kate,

Could you set the order up as a standing or future order, with all the apropriate comment lines, and then copy the order, changing the customer number in the process? That would be faster than any amount of keying.

The orders are for heating systems, installed, with many parts, and each has custom specifications. Every invoice is different. I am working on them to change to having the invoice briefly list items and refer to the attached specifications, or the attached proposal. They have been re-typing the entire proposal or specification into the invoice.

We will also be installing Miracle Service, from Nexent, which will handle many of the detailed invoices they have been doing, and carry the text right from workorder to invoice.

Miracle Service allows you to link a file to an order, just as Adagio allows you to link a file to an item. Could Adagio allow a link of a file to an order. For this client that would be awesome because almost every order has legal documents or specifications or proposals that are part of its documentation.

I like Ryan's suggestion also - a table of frequently used comments. Same client will likely appreciate that feature in POA.

Hi Kate,

Adding standardized text by code is on our list of suggestions for OrderEntry - so that will arrive at some point. The suggestion of attaching a "document" to an order/invoice is interesting. If the document "disappeared" (because someone deleted it in explorer), how would you expect OrderEntry to react?

I would expect order entry to react the same as if someone deleted the information in a field. In other words, if the order was opened but the document was no longer available, then OE would not be able to access it to print it with the invoice, or allow you to open it from within the order. If the information in a field disappears, the order is still there and the other information is still valid.

What happens in IC if the linked file disappears?

I would suggest that the standard be that the linked files are in a folder within the data folder, so they are backed up, made part of zip files, etc.

How about using Adagio Invoices which already has the ability to setup standard text. You can also paste up to 10 lines of comments into an empty text box. Invoices will sell inventory items, the only issue is that invoices are not tracked like an outstanding order.
