A client upgraded ePrint to DocStore this week. They called to say that the "Process SoftPDF to DocStore" function had been running for 2 hours (it eventually finished after 2 1/2 hours).

They use Adagio Invoices and they have been using ePrint for about 8 months which means about 3,000 PDF's.

But it turns out they have more than 1 million GL transactions and the process works its' way through the entire list attaching PDF images to the correct GL transactions,

They will need to run the "Process SoftPDF to DocStore" function a few more times until Invoices 9.3A is released.

Questions:
-There will be fewer new PDF files the next time. Will that shorten the duration?
-Can the process be run multiple times without any negative effect?

By the way, once the wait was over, they were pleased to find that their older ePrint images were retroactively attached to GL transactions.

Hi Bruce,

The process can be run multiple times and should only attach the documents once. As long as people are not renaming the files manually in the SoftPDF Folder, they will only be attached once.

I think (although I might be wrong and someone can correct me) that the process will take approximately the same amount of time for each invocation. Most of the work is in deciding whether to attach a file, not the actual attaching itself. And all million GL transactions will be scanned each time.

Now that they have an idea of the time required, they will schedule the process to run at the end of the day. The problem this morning was that no one could access Adagio while DocStore was doing its thing and the 2 hour duration was unexpected. But at least there was a progress indicator so they knew that it was still going.

The process can also be automated. From the Help text:


Note (after a conversation with Chris): This will slow down again when AR and IN 9.3A ship as the transactions will need to be attached there. But once that is done, those modules will be writing to DocStore and you shouldn't need to run Process SoftPDF again. In the interim, you only need to run the function when you want the documents attached to the posted transactions in Ledger.
