A client has OE invoices in their Current list back to 1999. It looks like every invoice for the past 16 years is still in Current.

Their Day End settings are "Purge from current" = 30 and "Purge from History" = 999 days. They run Day End regularly and Orders are properly being purged from Current as part of Day End. Credit Notes have a similar issue though they only date back to 2008.

Data Integrity Check is clear.

What factors does Day End consider when purging Invoices from Current?

Hi Bruce

Look at the print status - they have to be printed to be purged from Current.

Usually that is the culprit.

I suspect that "Order Complete" must also be TRUE.

Hi Bruce,

It's checking the following:

Has the invoce been marked as printed?
Is the ship date less than or equal to the invoice date?
Has it already been marked as moved to history?
Is the option in the company profile set to move to history?

Hi Steve, Michael & Bob:

Thank you for the responses. As predicted by Steve, the invoices are failing the first test "Has the invoice been marked as printed". The invoices for the past 15 years have a Print Status = "Order Confirmation"!

This is a new client to me so I'll call tomorrow and find out why they are processing invoices that way.

Hi Bruce,

Thanks for the confirmation. (sorry, I couldn't resist...)

Just so you know, what that means is that an Order Confirmation had been printed for the order, and then after that the order was invoiced. Print statuses carry over from the order to the invoice.

If they email or fax invoices, there are settings in the company profile to 'Mark emailed/faxed/previewed as printed', so they may just not have the profile settings enabled.

Just to wrap up this thread:

The user does indeed use the Order Confirmation button to print "Invoices". They do this before posting the Order into an Invoice. Their rationale is that, in the case of a mistake, they can edit the Order and use the Order Confirmation function to reprint the "Invoice" before posting.

I guess nothing they sell is taxable, or do they have quantity shipped on orders enabled?

They do have "Quantity shipped on orders" enabled. And it's also true that they sell a food product so taxes are generally $0.00 anyway.
