A prospect is a printing firm. They are already using Adagio Receivables and expressed interest in creating invoices out of Adagio. The items would be Invoice items, not Inventory items.

They want to extend not only the dollar amount of an item, but also the total square feet. For example, they sell ten 24x18 inch digital prints at $.20/print. 24x18 inches computes to 3 square feet (I don't expect Adagio to know this, they will enter both the 24x18 and the 3). They want the invoice to print the $2.00 price (no problem) and the 30 square feet (problem).

The best workaround I have is to use the unit cost field to enter the square feet, since there is a spec code for extended cost (D017). But I would rather use an optional field since I can't change the screen label to say SqFt instead of Cost. However, I don't believe there is a spec code to get the total.

Does anyone have a better idea? If not, can I suggest that spec codes be added for extending optional fields? Or for changing screen labels.

Have you printed out your invoice using the "all codes" specification and numbers in every amount field?

Are you looking for the invoice to be able to show the total square feet?

Item A 3 sq ft 5 units sold = 15 sq ft
Item B 2 sq ft 3 units sold = 6 sq st
Total sq ft this invoice = 21

Is the sq ft per unit for item A always 3 sq ft, etc?

If you added IC and used the weight field, would that get the job done?
Another option would be OE standalone, again using the weight field.

Doug: Yes to the first question, Yes Item A's unit square feet is constant.

OrderEntry invoicing is not flexible enough for them - and they will need the archiving function. Cost is a big factor here since they are also looking at Quickbooks and I know it would work for them (but I won't tell them that). The workaround using the Cost field is "free" so I'm looking for a similarly cost-free idea.

It's more complicated than I thought. The unit price above is not $.20/print, it's $.20/sq foot. So to get the extended price, they have to multiply the # of prints times the unit sq footage/print (which equals the total sq feet) and then times the unit price.

I can get to the correct extended price by using the Price Adjustment field, entering the number of sq feet as the "adjustment factor"). But I can't get the total sq feet to print, unless I also have them put the number of sq feet in the Cost field as I mentioned above. It's bad enough that the field labels don't match the contents, but to have them double-enter the number of sq feet is even worse.

I love being able to tell users that Invoices can work for almost any kind of invoice - I hope I haven't met my match.

They are doing all this calculation manually at the moment? There are very few businesses that require 3 way invoicing (meals x patients x days is one I've seen), and I've not seen four way before.

This is three way, not four way (prints x sq ft/print x price/sq ft)

They are not using Adagio. In fact, they just bought the business back from a conglomerate they had sold it to five years prior, and they don't want to repeat the same mistakes they had made when they did their billing by "the seat of the pants". They own (an older version of) Receivables from before and have fond memories of it, and that is why they are even considering Adagio instead of QuickBooks.

Does the client (invoice recipient) care about the price/square ft, or is this an internal metric for SalesAnalysis? Do the prints come only in fixed sizes (which removes the "sq ft/print" entry and moves it to an item number).

I don't think Invoices will do what they want otherwise. It doesn't handle patients x meals x days calculations.

I think I got it.

The item list will be set up by sq footage, so a 24x18in item (3 sq ft) would be a different item than a 36x24in item (6 sq ft) even though they may be otherwise identical. They would enter the 3 (or 6) in both the cost field and the Adjustment value field when they create the item (one-time setup), and then they won't have to think about it every time they invoice.

Whew, I am showing them Invoices tomorrow.

Thanks for helping me think it through. I just hope they don't have too many different print sizes.
