Is there a way to add the total Qty on Hand to a Receipt? For example, QTY Received: 5, Total Qty on Hand: 25, Picking Sequence: F4. We are currently using both Qty Received and Picking Sequence successfully, but I can't find a field available for Total Qty on Hand.

Also, is there a way to get rid of the .00 on the Qty Ordered field?

Hi Susan,

1) I don't believe the Qty on Hand is available as a specification field, based on browsing the Data Tree. Total Qty on Hand for the item is a calculated value, and item information for a particular location likely is not available for selection. Which 'Total qty on hand' were you interested in?

2) You would need to edit the Qty Ordered field and apply a DisplayFormat mask to remove the decimals. You don't have to select one of the pre-defined masks, but instead use your own.

Part of the problem is that the Qty Ordered field is likely defined as a text string rather than a number, thus the supplied Display Format masks are of the wrong type. You may need to delete and re-insert the field, and hope it kicks in as a numeric field.

1) Our staff that puts product away would like the paperwork to show on it, what was received, how many, what location they are kept in and how many we currently have in stock so they can put the newly received items in the same location as same product already in stock and verify the quantities of both what is being received and what is already previously in stock. So "total quantity on hand not including the current receipt" would work or "total quantity on hand including the current receipt" would also work. However, it's important that the "total quantity on hand" is only for the warehouse location where the product is being received. We do not want the "total quantity on hand" to include what's in stock at other locations.

2) This does not seem to work.

Hi, Susan,

To change the number of decimals, you will have to follow the intructions in (2) above. However, 'before' you do that, you will first need to delete the existing code, save the spec, then add the same code back in to the spec. 'After' doing this, you will be able to successfully change the format of the code.

I could not resolve the issue using the "Qty Ordered" field. This field always comes up formatted as 100.00% no matter what you do. However, I was able to change the field to "Qty Originally Ordered" instead which works great.

Another problem is with the "Unit Price" and "Extended Unit Price" fields. They show the 2 numbers after the decimal ONLY if they are not zero. For example, $45.25 appears correctly but $45 even shows as $45 instead of $45.00. Not a big issue but any annoyance that I haven't been able to resolve.

Hi, Susan,

Delete the code and save the spec. Then, readd the code. Don't set up any formatting for it and it will print just the quantity. When I do this and the item has a Qty Ordered of, say, 5, only the number 5 prints on the Order spec.

Another thing you can do if this is for the order spec only is to delete the code and add the Qty on Backorder code instead (at this time, it would report the same qty as nothing has been received as yet). With this code, you can use the same Display Formatting as was discussed earlier. In fact, you could click on a 2-decimal format if you wanted and then manually remove the .00 at the end of the formatting codes.

With respect to your Unit Price and Extended Price problems, again, delete these codes, save the spec, re-add the codes and then right click on them and change their Display Format, probably to #,0.00;-#,0.00 or you could remove the - and surround the second 0.00 with parentheses if you prefer.

Hi Softrak Support,

Thank-you your instructions to correct Unit Price and Extended Price. I have successfully changed the spec to show 2 decimal places.

I was not able to have the same success with removing the 2 decimals on the Qty Ordered field, however, it works with the Qty Originally Ordered field which gives us the exact same information as far as I know.

Great.

It may be that the 'Qty Ordered' field is defined in the database structure with the wrong type, thus it cannot be formatted without decimals.

The two fields will show the same value unless you edit a previously posted PO and change the Qty Ordered to a different value. And perhaps if you do partial receipt of quantity - be sure to check this.

i have been working on creating a new purchase order form. In the process i inadvertantly spaced out the line items. Now i cannot seem to change the spacing at all. it will allow me to make larger spacing but will not let me reverse???

any help in this matter would be much APPRECIATED !!!
