When I try to print a GL Detail Listing to Excel, the period, source, date, description, and reference all show up as column headings. However, the source data appears in the period column, the date data in the source column etc. All data is one column to the left except for the period data which does not appear at all. Tho columns with a $ value are okay.

Am I doing something wrong, or am I expecting something that is not possible? Using GL 9.0 and Excel 2003.

In case you're wondering, one of our managers would like to be able to play with his data - search, sort etc.

Hello:

You won't be able to export from a Crystal report into Excel and get it to look like you want. There will always be some editing required. That's the nature of Crystal reports.

However you can get exactly what you want if you have GridView. Create a View based on the posted transaction table and apply Date and GL Account criteria.

Or, if you have GL 9.0C, there's an easier approach. Go to "Inquiries" then "View Transaction/Budgets". Once you find the GL account you are interested in, click on the "Transactions" button. You will see an Excel Direct button. Click on that to create an Excel workbook containing the transactions.

Bruce's suggestions are good. Note that the Excel Direct function for the View Transactions function was introduced in version 9.0B.

Another way to get transaction details is via the Drill-down within the Financial Reporter.

A fast way to get your manager all the detail transactions he needs to "play" with is to create a financial statement with just the account s/he wants to see on it with the "Y" (YTD) spec code, and right mouse click on the figure displayed and select "Tx Details" from the context menu. Then use Excel Direct to send all the transactions to a spreadsheet.

You can select the fields you want from the transactions by choosing them in View | Customize | Settings.

In order to see the green "Excel Direct" button in the Transaction Inquiry screen, you will need to ensure that the user is configured correctly. Under "File" | "User setup", make sure that "Enable SF Export" has a check-mark beside it for that user. ("SF" stands for "Smart-Finder").
