We are set up in OE/Printing Invoices with the Specification Option "Use current customer specification". A few of our customers are set up in AR/Edit Customer/Invoicing with Print Specs. Otherwise most of our customers use the OE default specification. If there is nothing specified in AR, it prints the OE default.

Question - Is there a way to override the customer specification occasionally while maintaining the "Use current customer specification" setting in OE"? If we change the Specification option in OE/Printing Invoices to "Use selected specification", I'm afraid it will change the default to this for all of our customers invoices going forward, until someone notices and changes it back. That's why we ALWAYS leave it on "Use current customer specification".

Please advise if we can override the customer specification occasionally while maintaining the "Use current customer specification" default.

Hi Susan,

If the customer has a default specification defined (ie not blank), then this cannot be overridden if you leave the 'Use current customer specification' as the Specification Option. If you want to use a different spec for this customer, you must not 'use current customer specification'. Otherwise how can the program know what spec to use and isn't that the expected definition of 'use the spec set for the customer'?

If the customer does not have a default specification defined (ie blank on the customer record), then you can override by simply selecting a different spec on the Print Form screen. This spec will be used instead of the one defined in the Company Profile.

In short, leaving 'use current customer specification' will allow over-rides for customers that do not have a particular spec defined, but not for customers that do.

For customers that do have a spec defined, what do you suggest when we need to override it? As I remember, if we change OE/Printing Invoices to "use selected specification" for one invoice, it changes it for every invoice from that point forward. Is their a way to set OE/Printing Invoices to always default back to "use customer specification"?

If you have a customer that has a spec defined, then you need to change the option to 'Use selected spec' in order to override. You cannot leave the option as 'Use Customer spec' and get anything other than the customer's defined spec.

After doing the override with 'use selected spec', you can then set the option back to 'use customer spec' and print with 'Screen' as the destination. This will re-save the option back to 'use customer spec'.

The options used when printing is what gets saved for the next time, rather than a 'default spec printing' option that can be set somewhere.
