We used POA, Inventory Control & Order Entry

I did a PO and receive it in POA - PO is now showing as completed and the printed Goods Received Voucher shows that the item is received.

When I go to Inventory Control to inquire on the Quantities, that item still shows as Qty on PO. Now if i go to Transaction History that item show that it was received, it show the date when received and the right Receipt# generated on POA.

The receipt also went through OK in GL. GL and I/C is now out of balance

I've noticed 2 items with this problem already. What can we do to fix?

This has been known to happen in POA, esppecially on longer P/O's.

The good news is that the repair is simple:
-Use Adagio backup functions to backup Inventory and POA data
-Run the Data Integrity Check in POA

It will go through the items in Inventory and compare them to the quantities on order in POA. If a difference is found, the "On PO" figure on the Inventory item will be adjusted to match POA.

Did the receipt correctly update the quantity on hand and just leave the Qty on PO number in place? If so, then Bruce is right and the DIC will fix the problem.

No, quantity on hand is not updated. Would a DIC still fix the promlem?

You should do a backup, run DIC and, if the Rebuild button presents itself, Rebuild any errors. Run it in PO and also in IC.

DIC as a utility should be run on your data on a regular basis to help ensure problems don't go unattended.

I have had this problem also with the older versions of Purchase orders for adagio. After you you get this problem fixed by running DIC or getting add'l support please update to POA version 8 it fixes this problem. (Note-your inventory evalution totals will probably not match your GL Inventory account, that may have to be fixed also. DIC does not fix that, you have to make additional posting entries to correct this problem)

If you are already running version 8, you maybe having a problem due to your day end posting sequence. Ensure you do Day End on Inventory, PO'S and then Order entry in that order.

Oh one more thing, after your DIC is done. A quick fix for your inventory maybe to just do an adjustment or receipt in IC for the quanity and costs that is missing. Your transaction history will not be corrected but the Inventory item and costs will reflect what it should be. Just make sure all your batches have been previously retrieved into the GL before you do your Adjustment batch in Inventory. This way you can now just post your Adjustment batch in Inventory and retrieve that correction batch into the GL and simply delete it. DO NOT POST IT after you retrieve this correction batch into the GL. The GL Inventory Account has the correct figure already from your original receipt postings.
