I am looking for a way to code an inventory item so that is only available to "approved" customers.

What would be the most efficient way to accomplish this?

Would entering an "Alert" on the item be sufficient?

You can do this using Alternative Price Lists (APL) in Inventory. Create an APL using the customer code as the APL code, assign certain items to that APL, and assign the APL code to that customer in the Price List field of customer maintenance. Then when you try to sell that customer an item not assigned in the APL, you will get a message. The message will be either a warning message or a lockout message, depending on a setting in company profile.

Is this what you had in mind?

I had explored both of these options before making my original post. The problem with the alerts is that we are using them SO well that it almost becomes easy to bypass them. I would like something more secure.

The problem with the Alternate Price Lists is that I do not believe that you can code one customer with two different alternate codes, correct? If possible to have two alternates apply to the same customer, this would definitely work for us.

Just out of curiousity - why would you want to have one customer assigned to two different codes? I just can't think of a reason.

We have a group of items new to us that requires each person we sell to be licensed.

We have alternate pricing in place already for some of these customers, so we would have to either code them to two alternates (I don't believe this is possible), or add another alternate price list which would encompass both groups of inventory items.

I guess that would be an option.

For those items that are only allowed for approved customers, would the price potentially be different for those customers? It may be possible to combine the alternate pricing you already have in place with the additional list of 'restricted' items. What this would mean is setting up a price list for each customer, in the way that Steve described. I suppose it depends on how you do your alternate pricing that would determine how easy or difficult this would be to set up and maintain. Import alternate price list could be your friend here.
