I got an email from an end user with a similar problem. They have the latest service pack installed. They were using KOM's Customer Number Change addon. Here is their message. She did some unusual things, so it may be just a coincidence, but it is close enough...


Usually after using Change Customer Number I do a data integrity check in A/R. This happened on Saturday and the data integrity found errors. I started a rebuild, but interrupted the rebuild to check a customer account maybe this was a mistake?). To begin the rebuild again, I had to do another data integrity first, but it found no errors. Not being sure if I should believe this, I ran the data integrity again immediately, and this time it found errors. I ran the rebuild. Then another data integrity. The rebuild went fine, and the data integrity came up with no errors. This morning I discovered a customer with most of his history missing.

The first thing to understand is that, once invoices are posted, there is no link between what you see in Adagio Invoices and what you see in Receivables. It is quite possible, even likely, that your Invoices history will stay on file longer than your AR history.

Secondly, do you run AR "Period End"? Do you place a check-mark on the option labelled "Clear Customer history up to 00/00/00"? If so, all History transactions prior to that date will be purged. These are transactions that are already paid and already moved from the "Current" list to the "History" list.

What is odd, however, is that some Customers have 2004 data while others don't. Do you ever run the "Clear History" process under the "Maintenance" option in AR? This option allows you to clear History for a range of Customers. Is it possible that someone has run this process on at least the Customer in question?

Hello:

I can assure you that data does not disappear suddenly & mysteriously.

If you are confident that neither you nor anyone else in your office has cleared History, then the only other possibility is damaged data.

When you say that Softrak helped you, did they do a Data Repair? Has anyone else done a Data Repair? If you check Data Integrity now, is it error-free?

If you want a safety net, run the Backup procedure on the File menu on a weekly basis. That gives you a set of data to go back to if necessary.

Damaged data is usually the result of hardware errors.
Since you have recently had several unusual errors, it would be a good idea to check the server drive and the network communication (cards, wiring, jacks, etc.).
