I get this question a lot and I just got it again. Is there a way to export a financial statement to Excel without any hidden rows - only what appears on the screen?

I seem to remember that there was, but I can't find it right now. I also seem to remember that it exported as Values Only, no formulas in the Total row.

In the Financial Reporter select View | Customize | Settings | Exports and enable "Values only".

Is there a similar thing for the general ledger and other modules (at the moment, payables comes to mind)?

I've found the exporting to excel since the upgrade includes all sorts of hidden rows and merged cells.

For example, in payables, I save the list of the outstanding cheques we've just written as an excel file, so that I can incorporate them into a spreadsheet we use for a bank reconciliation. I used to be able to simply rearrange the columns and cut and paste what I needed - 30 seconds and I was done. Now I have to unmerge cells, sort the data to separate data from blank crap, delete blank rows and columns, and then re-sort lines and columns to get what I need. It's turned into a multi-minute exercise.

The setting is stored by windows user | workstation (in the Registry).

Hi Andrew

At the risk of being greedy, an ExcelDirect button on the check rec screen isn't very useful unless there is also a way to filter what displays and can be sent to Excel. Most importantly, by status, including pending status. I hope that is coming soon.

Hi Steve,

I'm looking at the check rec in AP 9.2A and the excel direct sends all fields selected in the column editor including status.

One of the reasons we send to Excel as a Table is because of its excellent filtering capabilities.

At the risk of morphing this discussion into something else, and please factor in that we don't use the bank rec module....

Is there any way in payables when viewing the check reconciliation screen that we can get only the outstanding cheques listed? Since we can't change the status of anything that is already cleared, reversed or voided, is it necessary to see them?

Whether clearing, reversing, or voiding the cheques, or exporting the information to excel in any manner that's been discussed above, life would be simplified if we didn't have to see every cheque ever written. (My current cheque series dates back to April 2011 and involves almost 6000 cheques, which all get displayed). I realize that by setting the report parameters to cherry pick the most recent cheques I need, I eliminate all the old stuff that has been cleared, voided or reversed. By utilizing the excel direct button on the check reconciliation screen, every cheque still gets exported rather than the outstanding ones I assume most of us really need to deal with.

Hi Marc,

Print the Check Reconciliation Listing report with all statuses selected - maybe to PDF to save paper. You will then be asked if you want to purge all checks that are not outstanding - ie cleared, reversed, etc.

Here's my improvement to payables suggestion;

Can the option to "clear all checks that are not outstanding" not made available when (or perhaps if) we print off the outstanding checks list (either before or after posting the changes in status)?
(And without having to select all statuses first.)

It would clean things up without essentially having to consciously print the checks (and include all the statuses) listing a second time.

I think you know there is a lot of room for improvement in this functionality (and that's before we get to reversing checks). As you can infer from this discussion, a good start would be to allow filters so that you don't have to preview and export a check reconciliation report to easily produce an outstanding check list in Excel.
