We upgraded to the most recent versions of Payables, Ledger, Receivables, Invoices and Lanpak a couple weeks ago. We ran Data Integrity Checks on everything after the conversion. Today, we ran a DIC on one of our companies and got the following error.

Orphan GL detail have been found.
Checking Transaction GL Details ... 8 errors found.

Can you tell me what the error means, what the cause might have been, whether a rebuild is the right solution, and what the rebuild will do?

We have rarely ever had errors on our data integrity checks. Maybe a couple times a year and usually for one of the other companies. I can't remember if we have ever had an error for this particular database.

Thanks,
Laura

Hi Laura

Although you didn't say, I'm assuming the error came from Payables or Receivables.

Rebuild is the right action.

In Adagio, if you click on a customer or vendor transaction, you will see what GL account(s) the transaction was coded to. Some transactions were deleted but inexplicably the associated GL account details were left alone, and so they are now "orphans".

Running Rebuild will delete the orphaned details, which is what should have happened in the first place.

Hi Steve,

Thanks for the info. It was payables that the error cropped up in. I put it in my subject line and then forgot to mention it in the body of my message.

Is this a common type of error? I have some new staff. Is it possible that they aren't doing something correctly or is this truly just an inexplicable and unpredictable type of error?

Thanks,
Laura

From Adagio Payables 8.1C (110729) Release Note:
Quote:
  • Turning on the 'Delete history transactions' option in both the Period End and Year End functions cleared the transactions but did not clear the related details within the Payables GL Distribution Details table, leaving "orphan" records in the table. (Note: the Maintenance | Purge Vendor History function did clear these details.) The orphan records caused an error if you later posted transactions with the same (i.e. a duplicate) document number to a vendor. The Data Integrity Check (DIC) detected and rebuild these errors after a posting. The DIC (in Payables but not DataCare) now detects ALL orphan records and removes them when you do a rebuild so the error will not be repeated with future postings. While the DIC is rebuilding, progress is not shown (the number of orphans deleted is not updated). This may take several minutes. In many cases, the first DIC run after installing 8.1C (2011.07.29) or higher may detect and rebuild a large number of errors caused by the orphan records. This is not a cause for concern.
